Two files, one disagreement

A tenant may hold an agreement that differs from your copy by one clause, such as the notice period. It was amended over email and saved somewhere else. Both files look official, and nothing shows which came later. A version history answers that question.

The agreement you use today is set up as a template, so each new one fills itself from the member’s details and is not retyped for every signing.

Sent for signature and returned signed, with no printing and no courier.

Versions in order

Each amendment sits after the one before it, carrying its date and the author’s name. Order is never in doubt.

Papers collected at joining

GST certificate, company identity documents and the authorised signatory’s proof, attached to the company they belong to.

Who may open what

Documents are visible to the roles you allow. For member agreements that is usually a short list.

Storage, not legal proof

A digitally signed copy held with its history is a well-kept record. Whether it holds in a particular dispute is a matter for your lawyer. The module does not decide it.

Can we keep using our existing agreement?

Yes. Your template goes in as it stands, and the fields that change per member are filled from their record. Nobody is asked to adopt a new wording.

Is digital signing included?

Yes. Contracts are built and sent for digital signature, and the signed result returns to the member’s file with its history.

Where are the documents kept?

On the hosting we run for you, with backups. They can be exported in bulk on request, and a full copy is handed over if you ever move away.

Can the member see their own agreement?

Yes, from the app, along with their invoices. That saves the front desk from requests for a copy of an agreement signed years ago.
