Commercial Kitchen Equipment E-commerce & Quotation Software

This solution lets an equipment supplier build a kitchen quotation from a specification catalogue and record what the site must provide. Delivery and installation are booked, and each machine keeps its warranty and service record. Buyers can review and accept quotes online. Nothing existing handles this flow, so it is written to order.

Product status

Custom software solution, built to your requirements

No existing GullySystem product quotes and installs commercial kitchens, so this is written to order. The wholesale ordering product can still carry consumable and spares sales to the same customers.

There is no published price, free trial or live demo for this solution. Scope and cost are settled in a written proposal after discovery.

Purpose and users

A kitchen is bought as a set that has to fit a room and a power supply. The system holds the equipment list, what the site needs, and the dates that depend on both.

It does not design kitchens or certify installations. It stores the layout files, requirements and sign-offs your team and the buyer’s contractors provide.

  • Equipment sales engineers
  • Quotation staff
  • Installation teams
  • Buyer’s project managers
  • Service coordinators
Modules

What is in the system.

Specification catalogue

Capacity, dimensions, power or gas type and clearances stored as searchable fields.

Quotation builder

Equipment, options, delivery and installation priced together, with versions as the plan changes.

Site requirements sheet

Power, gas, water, drainage and ventilation needs listed per item for the buyer’s contractor.

Installation planner

Delivery, installation and commissioning dates tied to site readiness.

Machine register

Serial, handover date, warranty period and service history for each installed unit.

Workflows

How the work runs through it.

Enquiry to accepted quote

A buyer shares a menu type and a layout from the consultant. Equipment is selected, a quote is issued, revised as the plan changes and finally accepted online. The accepted version is the one that is ordered.

Order to handover

Accepted lines are ordered, delivered and installed once the site checklist is complete and signed by the buyer’s contractor. The machine register is filled at handover, one line per serial number.

Catalogue and product data

What each product record holds.

Specification fields

Each machine holds the numbers a buyer compares and a contractor needs. Nothing is left in a brochure.

Options and accessories

Add-ons are linked to the machine they fit. A hood has its own line.

Documents

Manuals, drawings and layout files are attached to the item or the quote.

Pricing and order rules

How prices and orders are set.

Quote versions

Each revision is kept, and the accepted one is marked. A buyer who paid against version three will not find version five on the delivery note.

Discount approval

Reductions beyond a limit wait for a named approver. The approval is kept.

Payment stages

An advance, a payment on delivery and a balance after commissioning are set per order.

Stock and fulfilment

From stock to the doorstep.

Allocation by serial

Each machine is tied to the order and customer when it is picked. The serial is read, not typed.

Site readiness

Installation is held until the checklist is signed off by the buyer’s contractor. No sign-off, no visit.

Delivery and handover

Delivery notes and handover signatures are stored against each line.

Payments, returns and refunds

Taking money and giving it back.

Stage payments

Payments are linked to the stages in the quote, via bank transfer or gateway.

Returns and claims

A damaged or incorrect unit is logged with photographs and handled against the order.

Admin controls and reporting

What the team can see and change.

Pipeline

Open quotes by value, age and sales engineer, with the ones that have gone quiet listed first.

Installations

Scheduled, delayed and completed jobs, with the reason recorded for every delay. Patterns, such as late gas connections, then show up.

Integrations

What it connects to, and on what terms.

Wholesale ordering product

Carries consumables and spares for the same customers where that suits you.

Accounting

Invoices pass to your books as a file or a later connection.

Supplier catalogues

Brand price lists are imported where the supplier shares them in a usable form.

Deployment

How it is set up and run.

Written to order

Designed jointly. Afterwards it runs on our servers or in your cloud tenancy.

Two stages

Quotation comes first, because that is where most enquiries are won or lost. Installation planning and the machine register follow once quotes are flowing through the system.

Customisation boundaries

What can change, and where the edge is.

What can change

Specification fields, quote layouts and payment stages follow your practice, including the way your sales engineers group equipment into sections such as cooking, cold storage and wash-up.

Where the edge is

Layouts, standards compliance and commissioning sign-off belong to the professionals involved. The system records their outputs.

Migration and training

Moving over and getting people ready.

Bringing quotes and machines over

Recent quotes and installed machines are entered from your files, so that a service call on a machine sold two years ago can be answered from the register on day one.

Training

Sales engineers and installers each work through their own screens on live jobs.

Support scope

What support covers.

Cover

Faults and questions from your staff are dealt with on the terms the agreement sets.

Beyond cover

New modules, such as layout drawing, are separate work with their own quote.

Common questions

Questions about this solution.

Could we simply buy a package for kitchens?

No. Quoting and installing kitchens is custom software. Only consumables and spares could sit on an existing product.

Does it draw layouts?

No. It stores layout files that your designers or the buyer’s consultants provide, and links them to the quote.

Can buyers accept a quote online?

Yes. The buyer reviews the version you issue and accepts it, and the acceptance is recorded with the date.
