Vendor Bills and Company Spend in Expense Software

Rent, electricity, AMC renewals and vendor bills are recorded beside staff claims. A month of spend, from phones and from the accounts desk, then sits in one place.

Two sources, one record

Staff claims arrive from phones, filed by the person who paid. Company bills arrive at the accounts desk, where an assistant enters them. Both use the same heads and the same screen, so reports can read the month as a whole instead of as two separate lists. One picture.

What accounts enters

Rent and electricity

Recurring bills are recorded under the heads your accountant uses, with the bill attached to the entry.

AMC renewals

Annual maintenance contracts and their renewals are entered as spend, tagged to the branch or asset they cover, so a renewal is not lost between months.

Vendor bills

Courier, packing and similar vendor bills are recorded with GSTIN, invoice number and the tax shown on the bill.

Charged to a cause

A bill can be tagged to a site, job, vehicle, branch or customer, as a staff claim can.

How it reaches the books

Vendor bills pass through the same approval rules as claims, where you set them to. Approved entries can be included in the export prepared for Tally. Tally holds the ledgers, and this module covers the expense entries. Which vendor bills are entered here, and which your accountant posts directly, is agreed at set-up.

What it does not do

  • It is not an accounting package or a payables ledger
  • It does not decide input tax credit on a vendor bill
  • It does not replace the vendor payment process you already use
  • The list of recurring bills is agreed with you during implementation
FAQ

Frequently asked questions

Can office spend be entered as well as field claims?

Yes. Staff claims come in from phones, and rent, electricity, courier and vendor bills are entered by accounts on the same screen.

Do vendor bills need approval?

Where you set a rule for them, yes. Approval limits follow person, head and branch, and are agreed from your existing policy.

Is the GST on a vendor bill recorded?

Yes. The vendor GSTIN, invoice number and tax shown are recorded and listed for your CA to review.

Does it pay the vendor?

No. It records the spend. Vendor payment stays with the process you already use.
