How an advance behaves

The trip, the site or the job it was given for, and the date it left the cash box.
Open until it is settled
It sits on the person’s record. Nobody has to remember it, and nobody has to be the one who brings it up.
Bills set against it
Claims filed during the trip are adjusted against the advance before anything new is reimbursed.
Returned or carried
The balance goes back, or it carries to the next trip, and the record says which of the two and when.

Frequently asked questions
Does it stop people taking advances they never settle?
No. It makes the open balance visible to him and to his manager every time either of them opens the screen. Recovering the money is still a conversation somebody has to have.
Can one advance cover two trips?
Yes. It stays open, and bills from both trips are set against it until the balance is cleared or returned.
What about advances from before we started using this?
They are loaded at set-up and checked against what your accounts assistant believes is owed. Nothing falls into the gap between the old sheet and the new screen.
Can the engineer see his own advance?
Yes. His claims, their status, his open advance and the date he was paid. The accounts assistant stops being asked the same question every Tuesday.
