What Does That AMC Customer Actually Cost?

Travel, diesel and lodging sit in one lump under expenses, so the customer who needs four visits a quarter looks as profitable as the one who needs none. The tag goes on when the claim is made.

One lump called expenses

At the end of the year you know what the firm spent on travel. You do not know which contract ate it. The AMC renewed every March without discussion may be the one losing money, and nothing in the books says so.

Where a claim is charged

The customer

The service call, the AMC, the account. Chosen at the pump, while he still knows which visit it was for.

The site or project

A building under construction, a branch fit-out, a job number your team already says out loud.

The vehicle

Diesel, tolls and repairs against the vehicle that ran, which is how running cost per vehicle turns into a number.

The branch

So head office sees each branch’s spend during the month instead of at the end of it.

What you can finally ask

  • Expenses by customer, site, project or vehicle
  • Travel against an AMC, set beside what that AMC earns
  • Spend by branch, with the approver on each entry
  • Heads that are rising, month against month
  • The site where cash advances keep going
FAQ

Frequently asked questions

Does it work out profit per customer?

No. It gives you the expense side, tagged properly. What you charged that customer sits in your invoicing or in Tally, and putting the two together is a conversation with your accountant rather than a button here.

Can one claim be split across two customers?

A claim carries one tag, which keeps the entry quick and honest. A trip covering three customers is usually entered as three claims, and field staff find that easier than splitting one.

Do we have to tag every expense?

You decide which heads must carry a tag. Office rent does not need one. Diesel does, and that rule is set before the first claim is filed.

Can the tags be our own job numbers?

Yes. Sites, jobs, vehicles and customers are set up with the codes your team already uses on the phone.
