Nobody Negotiates the Same Rate Twice
Per kilometre for a two-wheeler, a daily allowance when a man is out of station, a ceiling for a lodge. The rates are set once and applied on the claim.
Agreed once, forgotten twice
The rate was settled in a meeting two years ago. Half the staff remember it as one figure and half as another. Whoever asks the owner directly gets the better answer, and the accounts assistant is left being the person who says no.
What the rates do
Kilometres, not rupees
He enters the distance and the vehicle. The amount follows from your rate, so nobody does arithmetic at a fuel pump.
Out of station allowance
A daily figure for a man away from his branch, applied by the number of days he was away.
Ceilings that hold
A limit for a lodge or a meal. A claim above it needs the person you name to clear it.
Different by grade, where you do that
A senior engineer and a trainee may not carry the same rate, and the screen knows which of them is claiming.
What this settles
- The same rate for everybody, without anybody having to enforce it
- Rates changed once, from a date, rather than in six separate conversations
- Claims above a ceiling, visible to the approver
- Travel by person and by month, at the rate you set
- The accounts assistant out of the negotiation altogether
Frequently asked questions
Does it work out the distance on its own?
No. He enters the kilometres and the screen applies your rate. Reading a route off a map is a different piece of software, and a service engineer doing six calls in a day is faster at it anyway.
Can rates change mid-year?
Yes, from a date you set. Claims already filed keep the rate that applied when the journey actually happened.
What about fuel bills on a company vehicle?
Those are claimed as diesel against the vehicle, not as mileage. Tagging each expense to the vehicle is what makes running cost visible later.
Can we cap monthly travel for one person?
Not as a hard stop. What you get is travel by person and by month, which shows the man whose claims have doubled since April. The conversation is still yours to have.
