He Stops Asking When He Will Be Paid
Approved claims are picked into one batch on a day everybody knows. Each person sees that his claim is paid, on which date and how, without asking anybody for the third time.
Asking a third time feels awkward
He asks the accounts assistant once, politely. He asks again in the third week. The third time he decides not to. Then he stops buying the customer tea, and nobody ever connects that to the ₹1,800 that has not come back.
How a batch runs
Only approved claims
Nothing enters a batch without the approval already on it. Accounts pays against a record, not against a request.
With salary or as a transfer
Whichever your firm does. Some pay reimbursements with the month’s salary, others transfer on a Friday.
Mode, reference and date
Kept against each claim, so a man asking about a payment in August gets an answer rather than a search.
Advances adjusted first
If he took money before the trip, his bills settle that before anything new is paid out.
What both sides stop doing
- Reimbursements paid, with date, mode and reference
- Claims approved but not yet paid, by person
- A fixed day people can plan around
- The batch prepared as an entry for your accountant
- The same claim never paid twice, because it leaves the pending list
Frequently asked questions
Does it move the money?
No. It prepares the batch and records what was paid, when and how. The transfer happens in your bank or with your payroll, where it belongs. UPI and bank transfers are how most of these actually move.
Can we pay some people weekly and others with salary?
Yes. The batch is a selection, so a site team on weekly payouts and office staff paid monthly run side by side.
What if a claim is approved after the batch is made?
It waits for the next run, or you add it before the batch is paid. Nothing is lost, and the pending list shows what is still waiting.
Does the claimant get told?
He sees it on his own screen, and a message can go by WhatsApp or SMS where you want that. Most people stop asking once they trust the day.
