Expense Claims With the Bill Photographed

A claim carries four fields and a photograph of the bill, entered where the money was spent. Date, amount, vendor and expense head are filed by the person who paid.

Filed when the expense occurs

Paper bills are folded, faded and carried in a pocket for days, and filing the claim later means reconstructing dates and reasons from memory. Here the field engineer photographs the bill and picks a head at the counter or the pump. It takes a moment.

What a claim carries

The bill

The bill is photographed at the counter, where it is still legible. A thermal slip is easier to read on the day it was printed than weeks afterwards. Nothing is carried in a pocket.

Four fields

Date, amount, vendor and head are asked for. Asking for more slows down a person standing at a site gate, and the claim then gets filed late.

Your own heads

Diesel, site labour, packing, courier, lodging, brokerage and AMC are set up the way your accountant already groups them, and no translation from a standard list is needed.

Tagged to the cause

The site, job, vehicle, branch or customer is chosen when the claim is made. It is not guessed at month end.

What happens next

  • Approval by your rule, so small claims need no manager
  • GST on the bill captured where the bill carries it
  • Advances adjusted before anything new is paid out
  • The claimant’s own screen showing status
  • The bill image one click from every line, months later
FAQ

Frequently asked questions

Does the claimant need to install an app?

No. It opens in the phone browser and uses the phone’s own camera.

What if there is no bill at all?

The claimant says so and files the claim as such. Auto fares and porter charges often come without a bill. Your policy decides what is allowed without one, and the claim carries a mark so that approvers can see it.

Can a claim be filed for something spent last month?

Yes. The date on the claim is the date of spending and not the date of filing. Claims pending beyond the days you allow show in a report by person and by approver.

Can accounts enter a claim for someone who will not use a phone?

Yes. The accounts assistant enters the claim and attaches the photograph that was sent on WhatsApp. It is a slower path, and it works.
