The Thumbs Up That Cannot Be Scrolled Past

A photo, a voice note, a thumbs up. Four months later nobody can find who cleared the ₹22,000 hotel bill. The rule decides who approves, and the approval stays on the claim.

Approved in a group that has moved on

The group carries two hundred messages a day. Somebody approved something in the middle of it. When accounts asks in November, everybody remembers agreeing to a smaller figure, and the man who sent the photograph has left the company.

How the rule is set

By amount

Under the limit you set, it goes straight to accounts. Above it, the branch manager sees the bill, the amount and the customer before he clears it.

By head

Lodging may need the owner while diesel never does. The rule follows the head as well as the figure.

By person and branch

A new joiner and a branch manager do not carry the same limit, and one branch may need a tighter rule than another.

A rejection with a reason

Sent back with a line saying why, so the man knows what to correct instead of guessing at it.

Can the owner approve everything himself?

He can, and some do at the start. It usually lasts a month. The point of the limits is that he sees only the claims worth his attention.

Does it catch a fake bill?

No. It puts the bill, the amount, the date and the person in front of somebody who can recognise a claim that does not belong. Judgement stays with your manager, and a determined fraud is still a human problem.

Can a manager approve from his phone?

Yes, with the bill in view. Most approvals happen between two meetings, and clearing a claim while he still remembers the week is worth more than a careful review in December.

What if the approver is on leave?

Claims waiting too long show as a report by approver, and you set who else may clear them. Nothing sits invisible because one man is away.
