Filling an Empty Post at Five in the Morning

A guard does not report. The operations manager opens the pool, sees who is free and where he is, and sends him. The post gets a name against it before the client notices.

Four calls and a prayer

At five in the morning the night man wants to go home and the day man has not come. The supervisor starts ringing: the first number is switched off, the second man is two hours away, the third worked last night. Meanwhile the gate stands open.

What the pool knows

Who is standing by

A named list of men kept aside for relief, with the sites each one has already worked and the shifts he can take.

Where he is now

The locality he is in and the post he covered last night, so you send somebody who can actually reach that gate.

Sent, with a time on it

The moment a reliever is assigned, the record holds who sent him, at what time, and for which post.

What the client was told

The message to the facility manager is logged against the same gap. Next month, when he asks about that Tuesday, the answer is on one screen.

The gap does not disappear quietly

  • Open posts shown in the control room as the shift starts, not an hour later
  • Relief duties counted as duties, so the wage sheet pays the man who stood
  • Unfilled shifts carried into post-wise billing with your agreed deduction
  • Repeat absentees listed by name, site and month
  • A man sent from the pool shows on the roster too, so two screens do not disagree
FAQ

Frequently asked questions

How is a reliever different from a regular guard?

Only in how he is deployed. He sits on the same guard record, with the same documents and the same wage rules. The pool is a standing list of men you keep free on purpose.

Can the supervisor send a reliever himself?

If you give him the right. Many agencies keep sending with operations and let supervisors only raise the gap. Both are recorded the same way.

Will it tell us who to send?

No. It shows who is free and how far away he is, and the choice stays with your operations manager. He knows which client will accept which man, and no screen knows that.

What if we have nobody free?

Then the post stays open on screen and climbs to the owner. Nothing pretends it was covered, and the shortfall reaches the invoice honestly.
