He Gives His Phone Number and the Rest Is Already There
A returning devotee reaches the counter and says his mobile number. Gothra, nakshatra, rashi and the family names come up, and the clerk starts on the seva instead of on the spelling.
What the register keeps
Found by phone number
The search your counter actually uses, because it is the one thing a devotee always knows.
The details a seva needs
Gothra, nakshatra, rashi and preferred language, entered once and reused at every booking.
Dates that matter to the family
Birthday and anniversary, which is why an archana gets booked in the first place.
Family members
The names that go into a sankalpa, kept together so a son booking for his parents does not recite them again.
Their history
Every booking and every donation linked to the record, so a regular giver is recognisable as one.
Old registers brought across
Devotee lists and past donations come in from Excel or from typed-up registers before you start. The point is the morning after go-live: a family your temple has known for twenty years should not be treated as a new name at the counter.
One devotee, two numbers
The register is built around the phone number, so a devotee who gives a different number creates a second record. It happens, usually when a son books on his own phone for his mother. Your counter staff can look for the name, and merging what belongs together is a cleaning-up job somebody in the office has to do by hand.
Frequently asked questions
Can we download the devotee list?
Yes, as CSV from the reports screen. The list belongs to the trust, and the proposal covers how the full record is handed over if you ever stop.
Does it send birthday greetings automatically?
No. The birthday and anniversary are on the record for your office to use. Nothing goes out on its own, which is deliberate for a temple.
Can a devotee see their own history?
The register is an office screen. What a devotee can do from the website is request a seva and give a donation with their details.
