Annadana, gau seva, the building fund, the hundi count: whatever heads your trust actually keeps.

The donor

Linked to the devotee record where there is one, with PAN captured when the donor gives it.

Mode and reference

Cash, cheque, UPI or bank transfer, with the cheque number or transaction reference typed in beside the amount.

What the donor said it was for. Months later that line answers a question the amount cannot.

The hundi, counted the way your trustees agreed

A hundi count is entered as a donation under its own head, with the date and the person who recorded it. It then appears beside counter and online giving in the same reports, broken down by payment mode. Who is allowed to enter a hundi count, and who is allowed to cancel a receipt, are settled with your trustees during set-up rather than left to habit.

Your accountant still keeps the books

Donations, bookings and receipts come out as CSV spreadsheets he can work with. There is no direct link into Tally, and pretending otherwise would waste his time and yours. If the trust wants that link built, it is scoped and quoted as its own piece of work.

Can we add a head for a one-off appeal?

Yes. Heads are yours to define, so a gopuram repair appeal can have its own head and its own total from the day it opens.

How do online gifts reach this list?

A devotee giving from your website enters the transaction reference, and the entry arrives with that reference on it. Your office matches it against the bank statement before treating it as received.

Can the trustees see this month against last month?

The dashboard shows today’s and this month’s donations with the split by payment mode. Anything beyond that comes off the CSV your accountant downloads.
