Tour Operator Package Costing Sheets

The costing sheet works out what a trip costs a passenger, from the hotel, transport, guide and entry rates held on file. The markup your office adds stays visible.

What goes into a costing

The sheet is built from the day plan, so nothing is typed twice.

Stay cost by room type

Room rates for each night in the season the trip falls in, with twin, triple, single and extra-bed lines kept apart.

Transport

The vehicle engaged for the circuit, its hire for the days used, driver allowance, fuel where you pay it, and tolls and parking.

Guides, entries and activities

Local guide charges by day, entry tickets a head, boat or ropeway tickets and any activity bought from a supplier.

Escort and fixed costs

Tour manager travel and stay, sign boards, water and whatever your office carries for the group. These spread across the passengers.

Markup and agent share

What your office adds, and the share a retail agent keeps on a booking that comes through one. Both sit on the sheet for the owner to read.

Cost a head and group size

Fixed costs divide by the number travelling, so the sheet is worked at the group sizes you want to quote. A sheet for twenty passengers and one for twelve sit side by side. Room sharing changes the figure too, which is why single and twin are separate lines. Sales quote from the slab that matches.

Quoted against actual

After the group returns, the vendor bills come in against the same file. The sheet then shows the quoted cost beside what was spent, line by line. Where a hotel charged for an extra room, or fewer guests travelled, the gap is visible. The owner sees it per tour, not at the end of the year.

What the client decides

  • How markup is worked, whether on cost, a head or by season.
  • Which costs are shared across the group and which belong to one guest.
  • Whether tax on the tour is shown in the quote or added at invoice.
  • Who may see the cost side of a sheet, and who sees only the selling price.
FAQ

Frequently asked questions

Does it decide what we should charge?

No. It adds up what the trip costs and applies the markup you set. Pricing stays your decision, season by season.

Can child rates be worked separately?

Yes. Children with and without a bed, and age bands your hotels use, are held as their own lines on the sheet.

How is tax on a tour handled?

Invoices carry tax as your office raises them today. How a package is treated is a matter for your accountant or advisor.

Can the same circuit have two costings?

Yes. Season rates and group sizes give different sheets, and each is kept under the departure or enquiry it belongs to.

What if a vendor raises a rate mid-season?

The new rate is entered against its dates. Costings already quoted stay as they were, and fresh quotes read the new figure.
