Transfers, Vehicles and Guides for Tour Operators
Vehicles, drivers, escorts and local guides are allotted day by day against the tour. Pickup points and reporting times sit on the same sheet operations work from.
What is allotted to a day
Each day of a running tour shows what has to move and who is with the group.
Airport, station and hotel transfers
A transfer is its own line with a pickup point, a time and a flight or train number where the guest has shared it. Arrivals spread across a morning are listed in time order for the driver. A late flight is noted against the transfer, which matters when the transporter bills for waiting. The record settles that conversation.
Watching for clashes
A vehicle already allotted to another departure on the same date shows as taken. Operations then engage a second vehicle or move the day. The same check applies to an escort and to a guide who is in demand in season.
What this module does not do
- It does not track a vehicle on a map unless a tracker is connected.
- It does not plan the shortest route between sightseeing points.
- It does not pay driver allowance. That goes through vendor settlement.
- Whether your own vehicles or hired ones are preferred is your call.
Frequently asked questions
Can our own vehicles be held here as well?
Yes. Owned coaches and cars are listed like any vehicle, with their allotment by date, so a double booking is caught.
Does the driver get the day plan?
A driver sheet with pickup points, timings and the halt for each day can be sent to the phone number on the allotment.
Can a tracker on a hired coach be linked?
Where the transporter runs a tracker that shares its data, a link can be scoped. Nothing is promised before that is checked.
What if a guest joins late at the second city?
The joining point is recorded on that passenger’s booking, and the transfer for the day lists them separately.
