Software Solutions for Paper Product Sellers

Paper is sold by size, weight, finish and count, in reams, packs and cartons. Sellers need those units held cleanly, with bulk pricing, carton-based shipping and repeat ordering for offices that reorder the same paper every month.

At a glance

Sell copier paper, envelopes and specialty sheets by the ream, the carton and the size.

Paper is heavy and bulky for its price. Weight and carton counts matter more here than in almost any other stationery line.

Offices buy the same paper again and again, so repeat ordering is as important as the first sale.

Businesses and operating models

Office paper suppliers

A supplier sells copier paper and envelopes to businesses on repeat orders and on credit.

Specialty paper sellers

A seller lists coloured, textured and certificate stock in small packs for design and events.

Print and pack stores

A shop sells cut-size paper, labels and envelopes to small businesses and walk-in buyers.

How an order moves

The workflow for paper products.

  1. 1

    Listing by size and weight

Each paper is listed with its size, GSM, finish and colour. Search narrows by those fields.

  2. 2

    Pricing by unit

A sheet, a ream of five hundred and a carton of several reams have separate prices and one stock count.

  3. 3

    Quoting bulk and repeat orders

A business gets a quote for a quantity and can repeat it from a saved order.

  4. 4

    Packing by carton

Orders are built in whole cartons where possible, and the parcel’s weight is calculated before a carrier is chosen.

  5. 5

    Invoicing and delivery

A tax invoice is raised for the business, and delivery is booked to a goods carrier when the load is heavy.

Where it breaks

The challenges, and what they cost.

Heavy parcels cost more

A ream is cheap and heavy, so shipping eats the margin. Without weight rules, small orders lose money.

Unit confusion

A carton of five reams counted as five in one place and as one in another leaves the stock figure wrong.

Look-alike grades

Two sheets that differ only in GSM or brightness are listed too close together, and a buyer picks the wrong one.

Repeat orders by hand

An office that orders monthly emails a list each time, and prices are rechecked by hand.

Requirements to assess

What is specific to this trade.

These are requirements we would confirm in discovery. They describe what the solution may need to handle. They are not features that already exist.

  • Shipping slabs by weight and destination
  • Sheet, ream and carton units with stated conversions
  • Specification fields that separate similar grades
  • Saved orders and credit terms for repeat business buyers
Recommended modules

What we would build for paper products.

Chosen from the commerce capabilities this business needs, not a list of everything.

Weight-based shipping

Calculate parcel weight from units and apply carrier slabs or goods-transport rules.

Unit conversion

Hold sheet, ream and carton as units with defined conversions.

Specification fields

Size, GSM, finish and brightness as searchable fields.

Saved orders and repeat ordering

A business repeats a past order, with prices checked against the current list.

Business accounts and invoices

Tax invoices, credit terms and a statement for each business.

Users and permissions

Who works in the system, and what each can do.

Catalogue editor

Enters specifications and units, and separates look-alike grades.

Business buyer

Reorders saved lists and downloads invoices and statements.

Dispatch clerk

Builds loads by carton and books carriers for heavy orders.

Integrations

What it would connect to.

An integration is confirmed only after its API, access and scope are checked. A connection that updates on a schedule is described as scheduled, not real-time.

  • Warehouse stock counts loaded from a file at set times
  • Goods-transport bookings for heavy loads, arranged with your regular transporter
  • Checkout payments through a gateway agreed with your bank
  • A ledger export laid out to your accountant’s chart of accounts
Implementation

How the work runs, and what we need from you.

What you provide

  • Your paper list with sizes, GSM and pack units
  • Your freight carriers and how you charge for delivery
  • A few business buyers and their repeat lists

Set the units first

Sheet, ream and carton are defined and counted against your shelf before listings go live.

Test shipping slabs

Sample orders are priced against real parcels to see that freight is covered.

Open repeat ordering

Saved orders are turned on for a few business buyers before wider use.

Deliverables

What you receive.

  • A paper catalogue with specification fields
  • Unit and conversion setup
  • Weight-based shipping rules
  • Repeat order and business invoice flow
Measurement

How progress is judged.

Measures are agreed against your own baseline. We do not promise a result in advance.

  • Orders where freight exceeded the charge made
  • Orders placed against a wrong grade
  • Repeat orders placed without staff re-entry
India and international

Selling at home and abroad.

Paper sizes differ between regions, with A-series sizes common in India and letter sizes elsewhere. Both can be held as options. Freight and duty treatment is settled market by market with your carrier and adviser.

The wider requirements for stationery are on the Stationery page.

Configured implementation

The storefront, units and ordering flows are built on the commerce platform that discovery recommends. No GullySystem product is named for this work, and the proposal fixes the scope.

Common questions

Questions about paper products e-commerce.

Can freight be charged by weight?

Yes. Parcel weight comes from the units ordered, and slabs or carrier quotes apply. Slabs are set with you and tried against real parcels.

Can an office reorder with one click?

Yes, from a saved order. Prices are checked against the current list, and a changed price is shown before the order is placed.

Does it quote custom-cut sizes?

Not on its own. Cut-to-size paper needs a quote step and a cutting schedule, which would be scoped separately.
