Lines that need a person

Most of a month’s entries clear through exact pairs and rules, because the loan EMI, the monthly charges and the daily gateway settlement are each a rule written once. Attention then goes to the lines that call for judgement. Those are few.

How a line gets matched

Exact pairs

Same amount, same date and same reference are paired and left alone. They appear only if someone goes looking for them.

Near misses

A day’s difference, a reference typed with a space in it or a rounded rupee produce a ranked suggestion, and somebody accepts or rejects it.

Rules for regular entries

The rent standing instruction, the insurance debit and the gateway credit each get a rule. It reads the narration the bank writes and posts to the head that the accountant named.

Every match carries a name

The entry keeps whether a rule or a person matched it, and when. A reversal stays visible in the trail. It is never deleted.

Where the rules come from

Three months of the client’s own statements are read before go-live, and the rules are written from what repeats in them.

Loan instalments that leave on a fixed date
Gateway settlements, with the gateway’s charge deducted

Frequently asked questions

Does it match everything by itself?

No. Rules and exact pairs clear the bulk of the lines. The rest arrive as ranked suggestions, and a person accepts or rejects each one. Deciding what an odd credit was is a matter for the accountant.

Can a rule be written later?

Yes. A new standing instruction or a new gateway becomes a rule that somebody writes from the statement line in front of them. The name of the person who wrote it is recorded with the rule.

What if a rule matches the wrong entry?

The match is undone. The line returns to the unmatched list and the reversal stays in the log. The rule can then be narrowed by amount range or by narration.
