Bank Reconciliation Rules for Regular Entries

A rule is written once for the EMI, the monthly charges, the gateway settlement or the standing instruction. After that it applies to that entry every month.

What a rule covers

Some entries repeat every month in the same form. The loan EMI leaves on a fixed date, the bank charges arrive with the GST on them, and a gateway pays out its settlement. Matching each one by hand adds nothing, so a rule handles it. Attention stays with the lines that need judgement.

How a rule works

Written once

The rule reads the narration the bank writes for that entry and posts it to the head the accountant named. It then applies to every later statement.

Built from your statements

Three months of the client’s own statements are read at set-up, and rules are written for whatever repeats in them.

Marked as a rule match

The entry keeps a note that a rule matched it, with the date. A match made by a person is recorded the same way, so the two can be told apart.

Reversals stay visible

If a rule paired a line wrongly, a person reverses the match. The reversal remains in the trail and is not deleted.

Added after go-live

A new standing instruction or a new gateway can be given its own rule once it appears on a statement.

Entries that usually get a rule

  • Bank charges, the GST on them and cheque return fees
  • Loan instalments that leave on a fixed date
  • Gateway settlements, with the gateway’s charge deducted
  • Standing instructions for rent, insurance and subscriptions
  • Overdraft interest picked from the statement

What a rule does not decide

A rule applies a decision the accountant has already made. It does not make new ones. A credit that follows no pattern goes to the unmatched list, where a person writes a reason. Which head a charge belongs to, and whether a rule is worth writing at all, is agreed with the client’s accountant during implementation.

FAQ

Frequently asked questions

What happens when the bank changes its narration?

The line no longer fits the rule, so it falls to the suggestions or the unmatched list. A person matches it, and the rule is revised with the accountant.

Can a rule post to ledger heads of our choosing?

Yes. Rules post to the heads your accountant names. Those names are agreed during implementation.

Could a rule ever pair a line wrongly?

It can, where a narration looks like the regular entry but is something else. Every rule match is marked as one, a person can reverse it, and the reversal stays visible in the trail.
