The Statement File, Read As Your Bank Exports It
On the first of the month the file comes out of net banking. That file is what the reconciliation reads, one account at a time, with nothing retyped.
Where the file comes from
Every bank exports a slightly different sheet. Yours is read as it comes, so nobody sits reformatting columns before the match can begin. The current account, the overdraft account and each branch account are loaded separately, and each keeps its own record of what went in and when. Nothing is reformatted by hand.
What the import does
One account, one file
A statement belongs to an account. September on the current account goes in, then the overdraft, and the two never land on the same list.
Imported twice, harmless
Overlapping date ranges happen when somebody downloads again to be safe. Import it twice. Lines already read in are ignored rather than doubled, so the second file costs nothing.
Excel or CSV, as downloaded
Date format, column names and the way your bank writes its narration are mapped once at set-up. After that the file goes in as it left net banking.
What you see when it finishes
Lines read, lines skipped as duplicates, and the balances the file itself carries. A missing date range shows up before anybody starts matching.
Before the first statement goes in
Set-up is a short piece of work done on your own months, not on a demonstration company.
- Three months of old statements, read to write the matching rules
- Opening unmatched items decided one by one with your accountant
- Each bank account mapped to the ledger name your books use
- Every import logged with the name of whoever ran it
Frequently asked questions
Can it pull the statement from our bank by itself?
Not on its own. A live feed needs your bank’s own corporate arrangement, and most small firms do not have one. Where you do have it, we read the feed. Otherwise the download takes a minute and works with every bank.
Our export has a heading block and merged cells. Will it read?
Usually. The heading rows are skipped once the layout is mapped at set-up. If your bank changes its export next year, the mapping changes, and you keep downloading the same way.
Can we load two years of old statements?
As far back as you can download them. Somebody still has to decide what the old unmatched lines actually were, and that decision belongs to your accountant.
