Twelve Bags Came Back From the Site
The slab is done and twelve bags are left over, along with some cut lengths. They come back on the empty lorry. If that return only ever happens in a phone call, the ledger and the yard start drifting apart that afternoon.

The site supervisor rings, the credit is promised, and the driver drops the bags in the corner of the yard. The stock book is not touched and the invoice stays at its full figure. Two months later the contractor deducts the amount himself, and nobody in the office knows why.

The credit note is tied to the bill the material was sold on, so the contractor’s account moves by the right amount.

The pile goes up by the same quantity on the same day. Nobody has to remember to adjust it later.
Damaged, and kept apart
Wet bags or rusted rods can be received without going back into sellable stock. What you can sell stays honest.

Credit notes go out with the invoices and receipts your accountant brings into Tally for the GST return.
What it does not settle
Whether to take the material back at all, and at what rate, is your call, though most yards credit at the billed rate and argue only about damage. The software records the decision, it does not make it.

Frequently asked questions
Can a return be taken without a credit note?
Yes, when material is simply coming back before billing, the quantity goes to stock and the order is adjusted. A credit note is raised only where a bill has already gone out.
What about a return against an old invoice?
It can be tied to that invoice however old it is. The ageing on that site then moves accordingly, which is usually the point of doing it properly.
Does the GST on a credit note work out by itself?
The tax follows the rate on the original bill. The note prints with it. Filing stays with your accountant, who works from the monthly file rather than from this screen.
