Cleaning Chemicals E-commerce & Product Document Software

This solution sells cleaning chemicals with each product’s documents, pack sizes and batches held against the item. It handles concentrates and ready-to-use products, restricts carriers by product class where you specify, and keeps re-order lists for institutional customers. The scope follows your own product range.

Product status

Configured implementation on a commerce platform chosen in discovery

Platform choice follows discovery. Document, batch and hazard fields are added to the store as far as that platform allows. What it can hold is settled before a proposal is written.

There is no published price, free trial or live demo for this solution. Scope and cost are settled in a written proposal after discovery.

Purpose and users

The system treats the document and the pack as part of the product. A buyer sees the safety data sheet with the item, and a clerk sees which carriers may take it.

It does not classify products, write safety information or judge what may be shipped. It holds the classes and documents you provide, and applies the rules your adviser sets.

Modules

What is in the system.

Product document store

Safety data sheets and technical notes held per product, with a version and date.

Pack and concentrate rules

Drum, can and sachet sizes, and the dilution each concentrate is sold for.

Carrier and class rules

A class field on each product that limits which delivery services the checkout offers.

Batch and date record

Batch number and manufacture date held against stock and shown on the order.

Re-order lists

Saved lists per customer or site, ready to repeat.

Workflows

How the work runs through it.

Document to order

A buyer opens a product, reads or downloads its documents, adds it to a list and orders. The order keeps the document version that applied.

Restricted dispatch

A product with a restricted class goes only to carriers you mark as accepting it, and the checkout hides the rest.

Catalogue and product data

What each product record holds.

Document fields

Each product holds one or more documents, each with a version and effective date.

Pack options

One chemical can be sold in several pack sizes, linked to a base unit in litres or kilograms.

Hazard and class fields

Class values you supply, used only to filter delivery and to print on the pick list.

Pricing and order rules

How prices and orders are set.

Price per pack

Prices follow the pack. A per-litre figure is shown for comparison where you want it.

Contract rates

Each institution sees only its own negotiated rates.

Minimum order rules

A minimum quantity or value can apply to heavy or restricted items.

Stock and fulfilment

From stock to the doorstep.

Batch-wise stock

Stock is held by batch, so a customer’s complaint can be traced to the lot supplied.

Restricted shipping

Checkout offers only the delivery services you have marked for the item’s class.

Packing check

The pick list shows the class and packing note, and the packer confirms before dispatch.

Payments, returns and refunds

Taking money and giving it back.

Payments

Online payment for small buyers and account billing for institutions.

Returns

Damaged or leaking goods are recorded with photographs. Whether stock is returned to shelf is decided by a person.

Admin controls and reporting

What the team can see and change.

Document control

Who changed a document, when, and which version each order carried.

Reports

Orders by product class, batches supplied to each customer and items with no current document.

Integrations

What it connects to, and on what terms.

Commerce platform

Picked in discovery, with document and batch fields added as far as it permits.

Carriers

Scoped one carrier at a time, after its interface and its rules for your products are known.

Wholesale product

Contract rates and ledgers can come from the existing dealer-ordering product, if you use it.

Deployment

How it is set up and run.

Phased

Documents and pack rules go first. Batch tracking and carrier limits come after.

Hosted

Hosting can be ours or in your own cloud account.

Customisation boundaries

What can change, and where the edge is.

What can change

Document fields, class values and pack options follow your range.

Where the edge is

Classes, documents and carrier terms come from you and your advisers. The system applies them and never decides them.

Migration and training

Moving over and getting people ready.

Loading documents

Your existing sheets are matched to products, and out-of-date versions are weeded out.

Training

The order desk and warehouse practise documents, packs and restricted dispatch on real items.

Support scope

What support covers.

Scope

The agreement names who fixes faults, who changes documents and when they are reachable.

Outside scope

A new market, a new carrier or a change to class rules is priced as a separate job.

Common questions

Questions about this solution.

Does the system tell us what we may ship?

No. That is for you and your adviser. The system applies the carrier limits you enter and records them.

Can we buy this as a finished package?

No. Configuration happens on a commerce platform picked with you after discovery.

Can customers download documents without an account?

That is a setting. Some sellers publish them openly and others show them only after sign-in.
