Commercial Waste Services E-commerce & Collection Software

This solution lets a waste services business quote a collection contract online, schedule recurring pickups by site, record weights and bin counts, and bill from what was collected. Bin and liner sales run beside it. No existing product covers collection rounds, so it is written for you.

Product status

Custom software solution, built to your requirements

No GullySystem product runs scheduled collection contracts with weighed pickups, so this is written to order. The wholesale ordering product could still carry the sale of bins and liners.

There is no published price, free trial or live demo for this solution. Scope and cost are settled in a written proposal after discovery.

Purpose and users

The system treats a collection contract as the thing being sold. It holds the site, the bins, the schedule and the rate. Each morning those become a route for every vehicle on the road.

It records what was collected and billed. It does not decide how waste is classified, who may carry it or where it may be taken. Those rules sit with you and your adviser.

Modules

What is in the system.

Quote builder

Sites, bin types, pickup frequency and rate assembled into a quotation the customer can accept online.

Collection schedule

Recurring pickups by site, with one-off and extra collections added as requested.

Route sheets

Daily rounds for each vehicle, with the stops, bins and notes for each.

Weight and count record

Weighbridge or crew-entered weight, and bins emptied, held against the pickup.

Contract billing

Monthly bills built from the contract rate and the collections made.

Workflows

How the work runs through it.

Quote to contract

A customer lists its sites and bins, receives a quotation and accepts it. The contract and its first schedule are created together.

Pickup to bill

A crew records bins emptied and weight at each stop. At month end the bill is drawn from those records and the agreed rate. Nothing is estimated.

Catalogue and product data

What each product record holds.

Sites and bins

Each site holds its bin types, quantities, access notes and pickup days.

Services

Collection frequencies, one-off clearance and bin supply are separate priced services.

Documents

Collection records and any transfer notes you issue are kept against the site and date.

Pricing and order rules

How prices and orders are set.

Contract rates

Priced per pickup, per bin, per weight band or as a monthly fee, as you quote.

Extra collections

A request outside the schedule is priced and added, with approval where you set it.

Bin sales

Bins and liners are sold as ordinary items.

Stock and fulfilment

From stock to the doorstep.

Route planning

Stops are grouped into rounds by area and by the vehicle capacity you specify. A planner can drag a stop between rounds.

Missed pickups

A stop not completed is flagged and rescheduled. The customer can see it, along with the reason the crew gave.

Bin inventory

Bins placed at sites are counted, so that replacements and losses are on record and can be charged where the contract allows.

Payments, returns and refunds

Taking money and giving it back.

Invoicing

Recurring invoices come from the schedule, with weight-based lines wherever the contract is priced by weight and the crew has recorded one.

Online payment

Customers pay by the methods your gateway supports, or settle on account.

Credits

A missed or disputed pickup is credited against the invoice.

Admin controls and reporting

What the team can see and change.

Roles

Sales, planners, crews and accounts each see their own screens.

Reports

Collections by site and route, weight by customer, missed pickups and contracts that fall due for renewal in the coming quarter.

Integrations

What it connects to, and on what terms.

Weighbridge or scale

Connected only once the device’s interface and your site setup are understood. Manual entry works meanwhile.

Vehicle tracking

Scoped for each provider after its API and access are checked.

Accounting

Invoices go out as a file, or through a connection agreed later.

Deployment

How it is set up and run.

Built to order

Hosting is decided after design: our servers or your cloud account.

Phased

Quotes and schedules arrive first. Crew entry and billing follow.

Customisation boundaries

What can change, and where the edge is.

What can change

Contract types, weight bands and the fields a crew records follow your own practice.

Where the edge is

Waste classes, carrier rules and disposal records follow your advisers’ specification. The system stores what you define, no more.

Migration and training

Moving over and getting people ready.

Bringing contracts over

Sites, bins, schedules and rates are loaded from your sheets and compared with recent bills.

Training

Crews learn the stop screen on real routes. Planners and accounts each get their own walk-through.

Support scope

What support covers.

Scope

Faults, small changes and questions from your team, with response hours written into the agreement.

Outside scope

New services, new regions and bigger changes are priced apart.

Common questions

Questions about this solution.

Does this already exist as a product?

No. It is custom software, written to order. Only bin and liner sales could sit on an existing product.

Does it handle disposal records?

It stores the records you define. Which records apply, and in what form, comes from your adviser and is checked for your market.

Can crews work without signal?

That depends on the device and the build. Offline capture is assessed in discovery and is not assumed.
