Musical Instrument E-commerce & Store Management Software

This solution lets a music retailer or distributor list, sell and deliver instruments online from the same record the shop uses. It suits sellers of single high-value instruments and of fast-moving accessories. The storefront is configured for each business after discovery and scoped in writing.

Product status

Configured implementation on a commerce platform chosen in discovery

No GullySystem product sells instruments online. The shop front rests on commerce software selected with you during discovery, while the counter may use a retail product we already run where its features fit.

There is no published price, free trial or live demo for this solution. Scope and cost are settled in a written proposal after discovery.

Purpose and users

Each instrument gets one record that the shop floor, the setup bench and the website all read. A sale at the counter then reaches the site without anyone retyping it.

It covers the storefront or trade catalogue, orders, serial numbers and delivery. It does not tune, repair, grade or appraise instruments; people do that work, and the system records it.

Modules

What is in the system.

Storefront

A consumer store, a trade catalogue for schools and shops, or both, built on the commerce software you pick with us.

Instrument record

Make, model, finish, specifications, included items and warranty terms, shared across site and shop.

Compatibility

Links between accessories and the instruments they fit, used in search and at the basket.

Serial and warranty register

The serial number captured at dispatch, with warranty dates and claims against it.

Delivery and service

Heavy-item booking, setup jobs and repair tickets opened from the order.

Workflows

How the work runs through it.

Listing to delivery

An instrument is published from its record, ordered, set up, serial-numbered, packed and delivered, with each step noted on the order.

Trade ordering

A school or a shop signs in, sees agreed rates and orders in quantity, with delivery to its own address.

Warranty claim

A claim is opened from the serial number, linked to the original order and followed to a repair, a replacement or a closure.

Catalogue and product data

What each product record holds.

Specification fields

Scale, key, number of keys, shell size or finish are fields. Filters and comparison tables are built from them.

Variants and bundles

Colour and handedness are options of one model. A stand, a bag or a bench can be offered as a bundle.

Media

Photographs, video and sound samples sit with each listing, and with the individual piece where it is unique.

Pricing and order rules

How prices and orders are set.

Retail and trade prices

Consumers and trade buyers see their own price lists, and one cannot see the other’s.

Offers and bundle prices

Time-limited offers and bundle prices are set by an approver and shown at the basket.

Advance and balance

An order for a costly instrument can be taken against an advance, with the balance due before dispatch.

Stock and fulfilment

From stock to the doorstep.

Shared stock

The site reads shop stock at intervals you set with the shop, and a piece sitting in a basket is held for a stated period.

Setup before dispatch

An instrument is checked and set up where the seller offers it, and the serial number is recorded.

Heavy and fragile parcels

Freight, access details and delivery dates are collected at checkout and kept with the order.

Payments, returns and refunds

Taking money and giving it back.

Payments

Buyers pay by the methods your gateway account supports. Settlement reaches your bank as that provider arranges it.

Returns

A return follows the policy you set, which may differ for sealed, opened and set-up instruments.

Refunds

The original payment method is credited once the instrument has been inspected.

Admin controls and reporting

What the team can see and change.

Roles

Each role is shown only the screens its job uses.

Approvals

Offers, price overrides and large orders wait for an approver.

Reports

Stock by brand and model, online and counter sales together, and open warranty claims.

Integrations

What it connects to, and on what terms.

Counter system

Reads and writes stock from an existing counter product or another system, once its export or API is verified.

Payment collection

Cards and UPI are taken through whichever gateway you open an account with. Its limits on large orders are read before checkout is built.

Carriers

Fragile and heavy items need carriers that accept them. Each carrier’s booking interface and coverage is read before any link is promised.

Deployment

How it is set up and run.

Hosting

Hosting is your choice: servers we look after, or an account you own and control.

Rollout order

One brand or one instrument family goes first. The rest follows after stock has matched the shop for a while.

Customisation boundaries

What can change, and where the edge is.

What can be set

Specification fields, delivery rules, bundles and page layout follow how you sell. The chosen platform limits how far.

What stays with people

Tuning, repair and the judgement of whether an instrument is fit to sell stay with your technicians.

Migration and training

Moving over and getting people ready.

Moving existing records

Models, stock and serial numbers arrive from your current system or spreadsheets. Totals are compared with your own counts.

Training for the shop

Editors, counter staff and technicians each get a short session, run on your own instruments.

Support scope

What support covers.

What support covers

Fixes, small changes and questions from your team. Hours and named contacts are written into the agreement.

What is quoted apart

New sales channels, new countries and larger changes are priced as separate pieces of work.

Subcategory coverage

Where each musical instruments subcategory is covered.

Each subcategory is either covered by this solution or has a page of its own where its software requirements differ.

  • Guitars

    Covered on this page

The category solution already covers variant options, serial numbers and setup records, and a used guitar is a single-quantity listing within it.

  • Keyboards & Pianos

    Covered on this page

The category solution already covers bundles, serial numbers, warranty and heavy-item delivery, which is what keyboards and pianos need.

  • Drums

    Covered on this page

Part-by-part pricing, bundles and carton-level packing sit within the category solution, and the kit builder is a configuration of it.

  • Wind Instruments

    Covered on this page

Option-based stock, compatibility links and return rules are all part of the category solution, so no separate page is needed.

  • String Instruments

    Its own solution page

One-of-a-kind pieces with recordings, size matching and timed trials need a per-piece system that the category solution does not provide.

  • Instrument Accessories

    Covered on this page

Fitment links, option stock and repeat orders are part of the category solution, and nothing in accessories needs a different system.

Common questions

Questions about this solution.

Can we simply install it?

No. Your range and rules are built in once discovery is done. No GullySystem product sells instruments online today.

Can we see a price or try it first?

No. Nothing is published to try, and no price list exists. Discovery ends with a quotation that names the scope and the cost.

Will it work with the billing package we use now?

Possibly. That depends on what the package can export or share, which we check first and report plainly.
