Language Course E-commerce & Scheduling Software

This solution runs a language school’s online side. A learner takes a placement test, is given a level, buys a package of lesson hours and books tutors whose availability the system holds. Hours are used up as lessons are taken. It is written around each school’s own levels and tutor arrangements.

Product status

Custom software solution, built to your requirements

Placement tests, tutor booking across time zones and lesson-hour packages form a scheduling system that ordinary course stores do not include, so it is written for your school. Payment and video go through providers you choose.

There is no published price, free trial or live demo for this solution. Scope and cost are settled in a written proposal after discovery.

Purpose and users

A language learner buys hours, not just access to videos. Each lesson uses an hour, depends on a tutor being free and may happen across two time zones, so the schedule and the balance must agree.

The solution covers placement, levels, tutor availability, booking, hour packages and lesson records. It does not host the video call, mark speaking skills or confer a language certificate.

Modules

What is in the system.

Placement and levels

A short test or a tutor interview sets the learner’s starting level, and the level controls which classes are offered.

Tutor availability and booking

Tutors publish the hours they teach, and learners book a free slot shown in their own time zone.

Lesson-hour packages

Learners buy blocks of hours that are drawn down as lessons are taken and expire on a stated date.

Group class cohorts

Fixed-term classes at a level have a timetable, a seat limit and a tutor.

Lesson record

Each lesson stores the date, tutor, duration and a note, which the learner can read.

Workflows

How the work runs through it.

Test, level, package

A learner sits the placement test, receives a level, chooses a package and sees tutors who teach that level.

Booking a lesson

The learner picks a free slot, the hour is held and the tutor and learner are reminded before the start.

Missed or moved lesson

A cancellation inside your cut-off uses the hour. One made earlier returns it, and the tutor is told either way.

Catalogue and product data

What each product record holds.

Languages and levels

Each language lists its levels, with the skills expected at each, as the school defines them.

Class and one-to-one options

The same language can be offered in group classes and in private lessons with different prices.

Placement material

Test questions and scoring bands are held for each language and can be revised by academic staff.

Pricing and order rules

How prices and orders are set.

Hour packages

Packages differ by number of hours, validity and lesson length, and some are limited to one tutor or one level.

Tutor rates

Each tutor’s pay rate is held separately from the learner’s price, so margins can be reported.

Introductory lesson

An introductory lesson can be priced as you decide and linked to the package a learner buys afterwards.

Stock and fulfilment

From stock to the doorstep.

Availability by time zone

Tutor hours are stored in one zone and shown in the learner’s own, so bookings are not confused by daylight changes.

Hours balance

Hours bought, used, held and expired are shown to the learner and to staff.

Tutor substitution

If a tutor falls ill, staff move the lesson to another tutor at the same level and notify the learner.

Payments, returns and refunds

Taking money and giving it back.

Payment

Packages and classes are paid through your gateway, and the hours are credited when payment is confirmed.

Expiry and refunds

Unused hours expire on their date. A refund of unused hours follows your written policy.

Tutor payment records

Lessons taught are totalled for each tutor, so your finance team can pay them.

Admin controls and reporting

What the team can see and change.

Utilisation

Tutor hours offered against hours booked, by level and language.

Hours expiring soon

Learners whose hours expire in the coming weeks, for a reminder.

Level movement

Learners who moved up a level, and how long that took.

Integrations

What it connects to, and on what terms.

Video lesson tool

Lesson links are created through the tool you use, once its interface has been tested.

Payment gateway

Packages and classes are paid through your gateway, tested with a small transaction first.

Messaging

Reminders are sent by email, and by WhatsApp where your business number is registered for it.

Deployment

How it is set up and run.

Written for your school

The system is developed around your levels and tutor rules, and the proposal states who owns the code.

Hosting

Hosting is arranged with you and sized for peak evening bookings.

Customisation boundaries

What can change, and where the edge is.

Your rules in settings

Levels, cut-off times, package terms and reminders are changed by your coordinators.

Where the edge is

Teaching, speaking assessment and any recognised language certificate stay with your tutors and the awarding body.

Migration and training

Moving over and getting people ready.

Existing learners

Learners, levels, hours remaining and booked lessons are read from your sheets or tool and checked by your coordinators.

Training

Tutors learn the availability calendar, and coordinators practise on bookings, moves and substitutions.

Support scope

What support covers.

After launch

A support note covers contacts and hours, and a plan for the busy weeks.

New work

A new language, another school or a mobile app is priced when requested.

Common questions

Questions about this solution.

Does it include video calling?

No. It books lessons and creates a link through the video tool you already use. The call runs on that tool.

Can a learner use hours with any tutor?

Only where the package allows it. Some packages are tied to a tutor or a level, and the booking screen respects that.

Can it grade a speaking test?

No. A tutor assesses speaking. The system records the result and the resulting level.
