Professional Course E-commerce & Enrolment Software

This solution handles programmes where a learner applies, is admitted, may be sponsored by an employer, and finishes with a certificate that others can verify. It joins the sales store to the learning platform. Admission rules, billing and certificate records are configured for each programme.

Product status

Configured implementation on a commerce platform chosen in discovery

Admission review, employer billing and certificate records sit on a sales platform and a learning platform that discovery selects. No GullySystem product runs online courses, so none is named.

There is no published price, free trial or live demo for this solution. Scope and cost are settled in a written proposal after discovery.

Purpose and users

Professional programmes are rarely bought on impulse. An applicant is checked against entry rules, often funded by an employer, and expects a certificate that an employer can confirm later.

The solution covers applications, admission, seats, employer billing, assessment results and certificate records. It does not teach, mark assignments or confer recognition that only an awarding body can give.

Modules

What is in the system.

Application and admission review

An applicant submits details and documents, and a reviewer admits, declines or waitlists with a reason.

Cohort seats and waitlist

Each intake has a seat limit, with a waitlist that moves when a place opens.

Employer sponsorship

A firm sponsors one learner or many, is invoiced once and assigns the seats.

Assessment and certificate records

Results are recorded, and a certificate carries a number that anyone can check on a public page.

Learning platform link

Admission and payment create the learner’s account and enrol them in the right cohort.

Workflows

How the work runs through it.

Application to enrolment

An applicant applies, a reviewer admits, the learner pays or the sponsor is invoiced, and the learning platform account is created.

Employer group booking

A firm requests several seats, receives one quote and invoice, and names the learners who take them.

Completion to certificate

Results arrive from the platform, the programme manager approves the completion list and certificates are issued with their numbers.

Catalogue and product data

What each product record holds.

Programmes and intakes

Each programme lists its entry requirements, intakes, fees and the awarding body’s name as you state it.

Prerequisite documents

The documents an applicant must supply are listed, and each is marked as received or missing.

Fee options

Full payment, instalments and sponsor payment are options on the same enrolment.

Pricing and order rules

How prices and orders are set.

Instalment plans

Instalments carry due dates, and a missed one is flagged to the admissions team before the next module opens.

Sponsor invoices

One invoice covers all seats a firm has bought, with the learners named on an annexure.

Seat release

A seat held for an unpaid sponsor lapses on the date you set.

Stock and fulfilment

From stock to the doorstep.

Intake capacity

Seats, waitlist position and the date each intake closes are visible to admissions staff.

Access timing

Learners are enrolled when payment or sponsorship is confirmed, and access ends on the programme’s end date.

Deferral

A learner who moves to a later intake keeps the payment record against the new cohort.

Payments, returns and refunds

Taking money and giving it back.

Payment collection

Fees are collected by the gateway your institute uses, and sponsor payments are matched to invoices.

Refunds and withdrawals

A withdrawal follows the policy you write, and the refund and access removal are recorded together.

Credit notes

A change of seats or a sponsor’s correction is handled by a credit note on the first invoice.

Admin controls and reporting

What the team can see and change.

Admission log

Every decision on an application is kept with its reviewer and reason.

Completion and certificate list

Who finished, who is eligible and which certificates are issued.

Sponsor report

Learners’ attendance and completion shared with the sponsoring firm, where the learner has agreed.

Integrations

What it connects to, and on what terms.

Learning platform

Enrolment and result exchange once the platform’s enrolment and results interfaces have been tested.

Payment gateway

Instalments and one-off fees, once test payments have gone through your account.

Accounting package

Invoices, receipts and credit notes passed on to your accountant.

Deployment

How it is set up and run.

Platform choices made in discovery

The sales platform and the learning platform are chosen together, because each limits what the other can pass.

Hosting

Hosting depends on those choices and is stated in the proposal.

Customisation boundaries

What can change, and where the edge is.

Admission rules are yours

Entry requirements, document lists and decision reasons are edited by your own admissions staff.

Where the edge is

Recognition of a certificate comes from the awarding body. The software records and publishes the certificate number and nothing about its standing.

Migration and training

Moving over and getting people ready.

Past learners

Earlier learners, results and certificate numbers are loaded so that old certificates can still be verified.

Training

Admissions, programme and finance staff practise on a mock intake before applications open.

Support scope

What support covers.

After launch

A support note covers contacts, response hours and how changes reach the live site.

New work

A new programme type, an extra awarding body or a mobile app is scoped on request.

Common questions

Questions about this solution.

Does this grant a recognised qualification?

No. Only the awarding body can do that. The software records admission and results and publishes certificate numbers for checking.

Can an employer see how its staff are doing?

Where the learner has agreed, the sponsor sees attendance and completion. Marks stay private unless the programme’s terms say otherwise.

Is the learning platform included?

Not on its own. The sales and enrolment flow connects to a learning platform you already use or one chosen in discovery.
