Watch E-commerce & Serial Warranty Management Software

This solution puts a watch store online with a catalogue of references, stock counted by serial number, brand price lists and a warranty register. It suits retailers, jewellers with a watch counter and own-label brands. Luxury dealers and strap sellers have separate pages for their different needs.

Product status

Configured implementation on a commerce platform chosen in discovery

The storefront, serial handling and warranty records are configured on a platform picked during discovery. Luxury watches have their own custom build, and straps have a configured fitment page.

There is no published price, free trial or live demo for this solution. Scope and cost are settled in a written proposal after discovery.

Purpose and users

The goal is that the serial number captured at receipt follows the watch to the order, the warranty and any later repair. Nobody retypes it, and a claim finds its watch.

The solution covers the store, stock, price lists and the register. It does not repair watches, authenticate them or replace a brand’s service network.

Modules

What is in the system.

Watch storefront

A consumer store filtered by brand, case size, movement and strap, reading from the reference catalogue.

Reference catalogue

One listing per brand reference, with the fields buyers compare.

Serial stock

Each unit counted by serial number and tied to the order that takes it.

Price list manager

Brand lists, discount rules and revisions applied together.

Warranty register

Warranty dates, repair requests and outcomes kept against the serial.

Workflows

How the work runs through it.

List to delivered

A reference is listed from a distributor sheet, priced from the brand list, reserved by serial and packed with a photograph.

Sizing and dispatch

An order with a wrist size enters the sizing queue before dispatch and leaves it when the links are removed.

Claim to repair

A fault is reported, the serial finds the warranty, and the watch is routed to the service centre with a status shown.

Catalogue and product data

What each product record holds.

Reference fields

Case size, movement, water resistance, dial colour and strap as fields that can be filtered.

Variants

Strap, dial or size options as variants of one reference, each stocked on its own.

Spec sheets and imagery

Distributor files are imported and the images are attached by reference.

Pricing and order rules

How prices and orders are set.

Brand lists

The current list per brand with the margin each reference leaves.

Discount rules

Maximum discounts per brand, with approval above the limit.

Order notes

Wrist size, gift message and engraving recorded on the order.

Stock and fulfilment

From stock to the doorstep.

Counting by serial

Receipt scans the serial, and a sale moves that serial out of stock.

Showroom link

Shop stock and the store read from one record at set intervals.

Packing record

Checklist and a photograph of the serial stored with the order.

Payments, returns and refunds

Taking money and giving it back.

Checkout

Card and UPI checkout; the gateway is fixed when the proposal is agreed.

Returns

A returned watch is compared with the packing record before refund.

Refund route

The refund follows the channel the buyer paid through, after inspection.

Admin controls and reporting

What the team can see and change.

Access

Pricing staff change lists, service staff change claims, sales staff do neither.

Reports

Stock by brand and serial, units under warranty, repairs open and returns by reason.

Audit trail

Price changes, discount approvals and serial edits are logged by user and timestamp.

Integrations

What it connects to, and on what terms.

Showroom software

Stock and sales exchanged by file or interface after the present software has been examined.

Insured courier

Bookings added once the carrier’s interface and its terms for watches are read.

Brand portals

Distributor ordering systems are considered when they offer a documented interface.

Deployment

How it is set up and run.

Platform and hosting

A store platform is picked with you during discovery, and hosting is ours or yours.

Staged launch

One brand first, then the rest of the range.

Customisation boundaries

What can change, and where the edge is.

What can change

Filters, discount rules, warranty wording and the order notes.

Where the edge is

Brand terms and service centre rules are theirs. The software records what you tell it.

Migration and training

Moving over and getting people ready.

Moving the stock list

Current stock and serial numbers are imported and checked against the shelves.

Staff sessions

Short sessions for pricing, sales and service staff.

Support scope

What support covers.

Cover

Defects, small edits and staff questions are covered as the agreement describes.

Beyond cover

A new brand integration or a marketplace feed is priced separately.

Subcategory coverage

Where each watches subcategory is covered.

Each subcategory is either covered by this solution or has a page of its own where its software requirements differ.

  • Luxury Watches

    Its own solution page

A serial-level register, custody log and release control are different software from the category solution, so this subcategory has its own page.

  • Fashion Watches

    Covered on this page

Colourway import, promotions and bundles are catalogue and pricing settings within the category solution.

  • Mechanical Watches

    Covered on this page

Movement fields and a service register are record-keeping within the warranty and service register of the category solution.

  • Quartz Watches

    Covered on this page

Bulk import, battery codes and trade cartons are catalogue and order settings within the category solution.

  • Children’s Watches

    Covered on this page

Age bands, gifting and replacement parts are catalogue settings; a guardian account is a small addition to the category solution.

  • Watch Straps & Accessories

    Its own solution page

Fitment data and made-to-order straps need their own data and order flow, so this subcategory has a dedicated solution page.

Common questions

Questions about this solution.

Does GullySystem sell a boxed watch shop product?

No. The store is configured on a platform. The nearest existing product, for electronics retail, may serve the counter side, which is checked in discovery.

Can it print the warranty card?

A card or certificate can be generated from the register where the brand allows its own format. The brand’s card, where there is one, stays the brand’s.

Can we see the price and trial terms?

No price list or free trial is published. A proposal sets out scope and cost after discovery.
