Luxury Watch E-commerce & Serial Register Software

This solution gives every high-value watch its own record: reference, serial, box and papers, condition, owner and location. A sale moves that record from the vault to the buyer with checks on payment and handover. It is written for authorised dealers and pre-owned specialists, and it does not authenticate watches.

Product status

Custom software solution, built to your requirements

No existing GullySystem product keeps a serial-level register with provenance, papers and custody for high-value watches, so this is written for the dealer. The showroom’s counter billing can stay where it is.

There is no published price, free trial or live demo for this solution. Scope and cost are settled in a written proposal after discovery.

Purpose and users

The register treats a watch as a single object. Its reference describes the model, but the serial identifies the piece, and the papers, the condition notes and the people who held it all attach to that serial.

Authentication stays with the maker, the brand’s service centre or a qualified appraiser. The software stores their reports and shows them to the buyer. It does not form an opinion on a watch.

Modules

What is in the system.

Serial register

One record per watch with reference, serial, year, box and papers, condition notes and photographs.

Custody log

Records who holds a watch at any time: vault, display, service centre, courier or buyer.

Appointment and hold

Reserves a watch for a named buyer for a set period, with an optional viewing slot.

Appraisal and trade-in

Takes a watch in against a purchase, with the assessor’s report attached and a value agreed.

Payment and release checks

A release step that waits for cleared funds and a named approver before a watch leaves.

Workflows

How the work runs through it.

Acquire to list

A watch enters the register by purchase, consignment or trade-in. Papers are scanned, condition is described, and an approver lists it.

Enquiry to sale

A buyer asks, a specialist answers, a viewing is booked, and funds are confirmed. The release step then opens.

Handover

The watch is packed with a photograph of the serial, shipped insured or handed over against a signature. The custody log closes.

Catalogue and product data

What each product record holds.

Identity of the piece

Reference, serial, movement number where known, year, dial and bracelet are fields, not free text.

Papers and accessories

Warranty card, original box, links and tools noted as present or missing, with scans.

Condition

Grade, notes and photographs from intake, kept as they were when listed.

Pricing and order rules

How prices and orders are set.

Single-piece pricing

Each watch has its own price, set by a person. The system records who set it and when.

Trade-in valuation

An incoming watch gets a valuation entry beside the sale, so the net amount is traceable.

Approval for release

High-value sales wait for an approver after funds clear.

Stock and fulfilment

From stock to the doorstep.

One serial, one owner

A watch is held by one order at a time, and the register shows the custody holder.

Insured movement

The carrier, insured value and tracking are recorded with each shipment.

In-person collection

Collection is logged with the receiver’s name and a signature.

Payments, returns and refunds

Taking money and giving it back.

Large payments

Bank transfer and gateway payments for high amounts, with part payments tied to the order.

Returns

A return is inspected against intake photographs and the serial, and a mismatch is flagged before any refund.

Admin controls and reporting

What the team can see and change.

Visibility

Specialists see their own enquiries. Finance sees payments. Owners see everything.

Reports

Stock by brand and status, custody by location, trade-ins open and time held per watch.

Integrations

What it connects to, and on what terms.

Showroom billing

Counter billing stays in your present software. A link is scoped once its export is examined.

Courier and insurer

Added case by case, once the provider’s interface and cover terms have been read.

Brand or appraiser reports

Reports are attached as files. Direct lookups are considered only if the issuer offers access.

Deployment

How it is set up and run.

Written for the dealer

Specified with you. We can host it, or you can hold the hosting contract yourself.

Register first

The serial register and custody log go live before online selling opens.

Customisation boundaries

What can change, and where the edge is.

What can change

Fields, grading scales, approval limits and release rules follow your practice.

Where the edge is

Authentication, valuation and appraisal belong to people with the expertise. The software records their findings.

Migration and training

Moving over and getting people ready.

Loading the stock

The present stock list is imported and every serial is checked against the physical watch.

Training

Walkthroughs for specialists, stock keepers and finance, with real intake examples.

Support scope

What support covers.

Scope

Defects, small edits and staff queries are covered as the agreement describes.

Outside scope

New markets, new insurers or a changed grading model are priced separately.

Common questions

Questions about this solution.

Does a packaged version exist?

No. It is written to your requirements, as GullySystem has no packaged product for serial-level luxury registers.

Will it tell us if a watch is genuine?

No. It stores the reports of those qualified to judge and keeps them with the serial.

Can it hold consignment stock for other owners?

Yes. A watch can carry an owner and agreed terms, and the register shows whose it is.
