Vouchers and Travel Documents on the Trip File
Hotel and transport vouchers, tickets, visa papers and insurance are held on the trip file. Any executive on duty can send them again to a guest who asks.
Everything the guest travels with
Who can open them
Passports and identity papers are not ordinary attachments. They open only for the executives working that file.
- Documents held against the file and the traveller they belong to
- Restricted to the executives on that file, and to the manager
- Who may open a passport or a ticket is decided by you at set-up
- Available to whoever is on duty, which is the reason for keeping them here
The limits
Frequently asked questions
Are vouchers in our own format?
Yes, with the agency’s letterhead and the terms it prints. They are set up once, from the voucher the agency sends today.
Can the guest get everything in one message?
Yes. The papers for a trip can be sent together on WhatsApp or email from the office, so the guest keeps one message and not several.
What if a booking changes after the voucher went out?
The voucher is raised again from the corrected booking and resent. The file shows both versions, and the guest is told by a person and not by a silent replacement.

- If it fits, a proposal follows with the order of work, what we need from you and what you receive at each step.
- No call is booked and nothing is paid until you have read the note. Your details stay with us.
