How to Automate a Gym Business From Enquiry to Renewal

Begin with enquiries, trial passes and joining
Many people who ask about joining are never followed up. The number sits in a notebook and the call does not happen. Record each enquiry with the person’s goal and how they heard of the gym. Issue a trial pass and set a follow-up date. The enquiry stays on a list until the person joins or drops out.
Joining then creates the member profile. The joining form, photo, start date, plan and fee go on that one record. Nobody types the same details again at renewal.
Set up plans, fees and member records
Plans go in first, as the gym sells them today. That means monthly, quarterly, half-yearly and annual plans, the joining fee, the freeze rules and the personal training packs. Each member record holds contact details, plan history, body measurements, goals and an emergency contact.
Part payments are common in gyms. A member who pays half now keeps an active plan with a balance due. That balance stays on the record, and the desk sees it at check-in and at renewal. Plans, training packs, lockers and add-ons are billed from the same record.
Count visits at the door
A check-in by card, fingerprint or phone number turns attendance into a count rather than a guess. Each visit is recorded, and the plan is checked at the same moment. A lapsed plan is flagged at the desk, where it can be renewed on the spot.
Whether a card or fingerprint reader works depends on the make of the device. The model is confirmed during scoping, before anything is promised. Members who have stopped coming are flagged as well, so the desk can call before the plan ends.

Add trainers, classes, lockers and the counter
A personal training pack is sold once and used session by session. Each session is booked with a trainer and counted, so sessions left show on the client’s record. Commission is worked out from completed sessions and plan sign-ups, using the rules the gym pays by.
Group classes and batches go on one weekly timetable with a set number of places. Lockers are listed with their key, deposit and end date. Protein, drinks and merchandise sold at the counter are counted against reorder levels. The owner reads active members, renewals due, fees collected and dues outstanding from these same entries.
When a register and UPI are still enough
A small gym with a few dozen members and no trainers on commission can manage with a register and UPI. Software adds little there, and the owner can wait.
