Order Management for Bakery Counter and Cake Orders

Order management takes counter, custom cake and standing wholesale orders into one list, each held against a delivery date. The kitchen reads tomorrow’s requirements from that list.

Three kinds of order, one list

Counter packing, custom cakes and a café’s standing bread order are different work with one question behind them. What has to leave the shop, and when.

Walk-in order

Half a kilo of gulab jamun packed for four o’clock is taken at the counter and due the same day. It is one line.

Custom cake

Flavour, weight, the message for the top, the design reference and the collection time are entered once on the order, and the kitchen reads them from there.

Standing order

A hotel that takes milk bread every morning is entered once. The order repeats, so it does not need to be asked about again.

Advance against the order

An advance taken at booking is recorded on the order, and the balance shows when the customer collects. Nothing is negotiated at the counter.

What the counter can answer on the phone

When a customer rings to ask whether a cake is ready, the counter opens the order and reads the status back instead of walking to the kitchen to ask.

  • Orders due today, listed by the hour they are due
  • The advance taken and the balance still to come
  • Who booked the order, and on which number
  • Marked collected, so the same cake is not made twice

Feeding tomorrow’s plan

Confirmed orders are one half of what the head baker makes tomorrow, and the usual counter quantity is the other half. Both are added up by closing time. Trays are not decided from a feeling late at night.

Orders still have to be entered

An order that stays on WhatsApp stays outside the system, so the counter has to enter it while the customer is present. Nothing here listens to a voice note or reads a message.

FAQ

Frequently asked questions

Can cake orders be taken on WhatsApp?

Yes, in the sense that messages still reach the bakery there. Somebody at the counter enters the order, and the confirmation goes back the same way. The software does not read a message and book a cake.

Does it handle a repeat order for a café?

Yes. A standing order is set once with the item and quantity, and it appears each morning in what has to go out. Each delivery leaves with a bill.

What happens if a customer changes the flavour on Friday?

The order is edited. The change reaches the next day’s plan as long as the batch has not started, and the kitchen reads the latest version.

Can a regular customer’s order from last Diwali be seen?

Yes. Past orders sit on the customer record, so a repeat starts with the weight, flavour and top message already filled in.
