Your supervisor can show them on his phone, and many caterers do exactly that, because agreeing it at nine is far easier than at midnight.
What if the supervisor has no signal at the hall?
That happens in halls on the outskirts. He records it when he has signal, and the entry keeps the time he made it, which is worth knowing.
Are extra plates charged at the same rate?
At whatever rate you agreed for additions when the order was booked. It sits on the event, so nobody negotiates it again in the middle of a function.
