Settling While the Family Is Still Happy
The best moment to raise the balance is the morning after, when the function went well and everyone is still saying thank you. A fortnight later it is a different conversation.
Money against the event
The advance, and what it was for
Taken at booking, recorded with the mode and the date. Cash at the office, UPI to the owner’s phone, a cheque that has yet to clear.
Part payments as they come
Families pay in pieces, usually three or four times. Each is recorded, and the balance moves the same moment.
The closing bill
The agreed per-plate rates, the counters, the additions made at the hall and whatever was adjusted. One sheet, built from what was already recorded.
A reminder while the mood lasts
Balances outstanding show by event with their age. The office rings on day two rather than in the third week.
What the owner looks at
- Balances outstanding by event and by how old they are
- Cheques received, with the date on each one
- Events settled in full, closed and out of the way
- What each function actually returned, against what it was costed at
The honest bit
No money moves through this
The family pays you the way it pays you today, and the receipt is recorded afterwards. Where you want a payment link to go with the balance reminder, a gateway is connected when the system is set up.
Your auditor keeps the books
Event bills, contract invoices and receipts download for your auditor to bring into his own Tally company. GST returns and the final accounts stay with him.
Frequently asked questions
Can we print a bill for the family on the spot?
Yes, from the event, with the rates, counters, additions and advances already on it. Most caterers print or send it the next morning.
How are contract canteen clients billed?
Daily head counts are gathered by site and billed monthly with GST, and the TDS your client deducts is recorded against the receipt.
Who can record a receipt?
Whoever you allow, usually the owner and the accounts assistant. Any correction is made by somebody holding that right, and the earlier figure stays on the record.
Does it chase the balance by itself?
No. The list shows what is standing and for how long. Somebody in your office makes the call, which is the only thing that has ever recovered a balance.
