Timesheets and Team Load for Marketing Agencies
Hours are logged against a client and a task, usually as the task is updated. The agency can then see which accounts take the most team time.
Logging hours
What it shows
Hours sit beside the retainer fee basis, which is what tells a founder whether a small account is quietly consuming a designer’s week while a larger one gets left behind. Load by person shows who is overloaded. Load by client shows which retainer to renegotiate at renewal.
Freelancers and part-timers
A freelance editor logs hours on the tasks given to them. Those hours can be read beside the amount payable in the freelancer record. Part-time staff are handled the same way, with their own weekly expectation.
What timesheets are not for
This is not a monitoring tool. No screenshots are taken, no keystrokes are counted and no location is recorded. How honestly a team fills hours depends on your own practice, and payroll itself is handled outside this module.
Frequently asked questions
Will the team resist filling timesheets?
Often, at first. Entry from inside the task they are already updating is the usual way agencies keep it light.
Can hours be billed to the client?
Yes, where you work on an hourly basis. Hours against a retainer are more commonly read for load, not billed line by line.
Does each person see everyone’s hours?
No. A team member sees their own entries, a lead sees the team, and founders see every account.
How is leave handled?
Leave and holidays are marked so a week is not read as unlogged time. Leave policy itself stays with your HR practice.
