Testing Instruments E-commerce & Calibration Record Software

This solution sells measuring and testing instruments with their specifications and accessories, then keeps a serial-wise record of calibration certificates, due dates, service visits and warranty. Customers see due dates and request recalibration online. No existing product holds this history, so the software is written to order.

Product status

Custom software solution, built to your requirements

Nothing in GullySystem’s range keeps calibration histories by instrument serial with recalibration scheduling, so this is written for you. The dealer-order software could still carry consumable and accessory sales.

There is no published price, free trial or live demo for this solution. Scope and cost are settled in a written proposal after discovery.

Purpose and users

Accuracy is the reason an instrument is bought, and accuracy lasts only as long as the last calibration. The system keeps that history against the serial number. The owner is reminded when the next one falls due.

It does not calibrate instruments or judge results. It stores certificates issued by calibration labs and by your own workshop, and records who provided each.

Modules

What is in the system.

Instrument catalogue

Range, resolution, accuracy and interfaces as searchable fields, with accessories and probes linked.

Serial register

Each instrument with serial, customer, delivery and warranty dates.

Calibration record

Certificates are stored per serial with their date, their provider and the due date for the next one, whichever lab or workshop issued them.

Recalibration scheduler

Reminders to owners and a worklist for the coordinator.

Service requests

Online requests for repair or recalibration, tracked to return.

Workflows

How the work runs through it.

Sale to register

An instrument is quoted, supplied against a PO and added to the register with its first certificate.

Recalibration cycle

A reminder goes out some weeks before the due date. The customer books, the instrument is collected, calibrated and returned, and the new certificate is stored.

Catalogue and product data

What each product record holds.

Specification fields

Measurement range, accuracy and resolution as stated by the maker.

Accessories

Probes, cables and software licences linked to the models they work with.

Documents

Manuals, datasheets and declarations attached to the model.

Pricing and order rules

How prices and orders are set.

Quotes

Instruments, accessories and calibration services are quoted together, so that the first recalibration is already priced when the instrument is sold and the customer can plan for it.

Service pricing

Recalibration and repair are priced services that can be added to any order, with the turnaround stated by your workshop or by the calibration lab you use.

Approvals

A quote above your limit pauses for a named approver.

Stock and fulfilment

From stock to the doorstep.

Serial allocation

A unit is allocated by serial at picking.

Units out for calibration

Instruments away for calibration or repair are tracked until they return.

Loan units

Temporary units lent during a service are recorded and recalled.

Payments, returns and refunds

Taking money and giving it back.

Payments

Invoices on account for institutions and card or UPI for small buyers.

Claims

A unit found out of specification on arrival is logged, photographed and handled with the maker.

Admin controls and reporting

What the team can see and change.

Due dates

Instruments due or overdue by customer.

Service load

Instruments away for calibration or repair, with the number of days each has been out. Long absences stand out.

Integrations

What it connects to, and on what terms.

Calibration labs

Certificates are attached by hand, or imported when a lab sends them in a readable format.

Dealer-order software

Carries accessory and consumable sales.

Accounting

Invoices reach your books through an import file.

Deployment

How it is set up and run.

Written to order

The design is agreed with you first. Hosting on our servers or in your tenancy is settled at that point.

Two stages

Register and calibration record first, then scheduling and requests.

Customisation boundaries

What can change, and where the edge is.

What can change

Specification fields, reminder periods and certificate types follow your trade.

Where the edge is

Calibration and its traceability belong to competent labs. The system stores their certificates and never alters them.

Migration and training

Moving over and getting people ready.

Loading the installed base

Units already in the field are keyed from your records. Paper certificates are held up beside a sample of the entries.

Training

Coordinators and technicians log a full recalibration cycle on live units.

Support scope

What support covers.

Cover

Faults and questions are handled on the terms set out in your agreement.

Beyond cover

A technician’s mobile app, or a further certificate type, would be a separate piece of work.

Common questions

Questions about this solution.

Does it calibrate instruments?

No. It stores certificates issued by labs and workshops, and reminds owners of the next due date.

Is there an existing product for this?

No. A serial-wise calibration record is custom software. Only accessory sales could sit on an existing product.

Can customers download their certificates?

Yes. Each customer signs in and sees only its own instruments and certificates.
