Gym Fee Collection, Dues and Payments

Plans, personal training packs, lockers and add-ons are billed from the member’s record. Part payments are accepted, and every balance due stays visible on the account until the member clears it.

What goes on a bill

Plan fee

The plan, its dates and the joining fee if it is a new member. A discount or offer appears as its own line.

Personal training pack

A pack is billed once. Sessions used later are counted without raising a second bill.

Add-ons and shop items

A locker, a class add-on or a protein shake can sit on the same receipt, and shop items come off stock.

Payment mode

Cash, UPI or card is recorded. A bill can be split across two modes when a member pays part of it in each.

Part payments and dues

A member who pays half now and half next week holds an active plan with a balance due. The balance sits on the account with a promised date. The desk sees it at check-in and at renewal. It is hard to miss. Where the owner wants, a plan with an unpaid balance past its date is flagged at the door.

Receipts and the accountant

A receipt can be sent to the member by WhatsApp or email, so the member holds a record of what was paid and on which date. Daily collection by payment mode is available for the cash count at closing. Whether a gym bills with GST, and at which rate, is for the owner to settle with their accountant. Tally export work is quoted on its own, apart from the core system.

Frequently asked questions

Can a member pay in instalments?

Yes. Each instalment is recorded against the plan, with the next date and amount, until the balance reaches zero.

Does it take UPI payments directly?

UPI is recorded as a payment mode. A gateway that confirms the payment on screen is a connection checked during scoping.

Can a bill be cancelled or corrected?

Yes, by a role the owner allows. The correction is stored with who made it, and the original entry is not lost.

Can the owner see dues across branches?

Yes. Dues can be viewed for a single branch or for all of them, grouped by member or by plan.
