Gym Locker Allocation and Key Records
Each locker is listed with its number, its key and the member who holds it. The desk sees at a glance which lockers are free, which are due back and which are overdue.
What a locker record holds
Allocation and return
Reception picks a free locker from the list, in the changing area the member uses, and gives it to that member in a few taps. On return of the key, the locker goes back to free. The deposit refund is recorded at that moment. A locker past its end date without a return lands on an overdue list, so staff can raise the matter with the member at the next visit.
Day lockers
Gyms with a small wall of day lockers can track those too. One is handed out at check-in. It comes back before the member leaves. Near closing time, staff see how many are still out.
What the client decides
- Whether lockers are charged separately or come with a plan
- The key deposit and whether it is refunded in full
- What the desk does with a locker not vacated after plan end
- Whether lockers are split by men’s and women’s changing areas
Frequently asked questions
Can a locker be tied to a plan so it ends with it?
Yes. The locker end date can follow the plan end date, or it can be set on its own.
Can members choose their own locker number?
Yes. The desk sees the free lockers by area and can give the one the member asks for.
Does it open smart locks?
Not as standard. Electronic locks have their own controllers, and any link to them is checked during scoping.
Where is the key deposit recorded?
On the locker record and on the member’s account, so the refund due is visible when the key comes back.
