Gym Member Records and Body Measurements

Each member has one profile that the desk and the trainers both read. It holds contact details, plan history, measurements, goals and notes, so nothing sits in a separate notebook.

What the profile holds

Contact and emergency details

Phone number, address, date of birth and a person to call if a member feels unwell on the floor.

Plan history

Every plan taken, with dates, fee paid and freezes. A returning member’s past plans are visible at once.

Body measurements

Weight, height, chest, waist and other readings taken on a date, so a trainer can compare this month with the one before.

Goals and health notes

Weight loss, strength or rehab after an injury, along with any condition the member has declared at joining.

Photo and documents

The joining photo, the signed form and any identity proof the gym collects.

Workout plans

A trainer can write a workout plan against the member: exercises, sets and days. The plan is shown on the member’s profile and is revised when the trainer changes it. Members who train without a trainer can have a standard plan assigned by the desk, and the trainer on duty can change it on the floor.

Who sees what

The desk sees contact details, the plan and any dues, which is what it needs to bill and to call. Trainers see goals, measurements and workout plans for their own clients. Health notes are shown only to the roles the owner chooses. Owners see everything across branches.

What this module does not do

It stores what the gym records. It is not a medical record. It gives no diet or exercise advice. Which health details the gym should collect is for the owner and the gym’s trainers to decide.

Frequently asked questions

Can a trainer see members who belong to another trainer?

That depends on the access the owner sets. The usual setting shows each trainer only the members assigned to them.

Can measurements be entered from a phone?

Yes. A trainer can add readings on the floor from a phone, and they appear on the profile at once.

Is there a place for a member’s injury history?

Yes. A health note field is available, and the owner decides who is allowed to read it.

Can a member’s profile be moved to another branch?

Yes. Branches share one member list, so a member can train at another branch without a second profile.
