Gym Software Views for Owners, Desk and Trainers
A gym has several people who handle the same member, from first enquiry through to renewal. Every role gets the screens for its own job and sees only what it needs.
One member, four roles
Through the day
A person walks in with an enquiry, and the desk issues a trial pass against the follow-up date it sets for the call. A joined member checks in each morning. The door flags a lapsed plan. A trainer marks a session done from a phone on the floor. At closing, the manager reads the collection by payment mode and the stock that sold at the counter.
At month end
Renewals missed, dues outstanding and trainer commission payable come together for the owner. The accountant receives the fee and sales reports from the same records. Trainers see what they have earned this month. Managers see their own branch only, while the owner sees every branch together and can compare them.
What the client decides
- Which roles exist at each branch and who holds them
- What each role may open, change, cancel or refund
- Who may give a discount or approve a freeze
- Whether health notes are visible to trainers or the desk
- Which branches a manager can see
Frequently asked questions
Can the desk see the notes a trainer wrote about a member?
That is set with the owner. Some gyms show the desk only the plan and dues, and keep the training notes with the trainer.
Do trainers need to use the computer at the desk?
No. They mark sessions and read their day from a phone, and their completed sessions count toward commission.
Can an owner look at all branches together?
Yes. Owners read fees, check-ins and renewals across every branch, and the member list is shared.
Who changes a role’s access later?
Our team makes the change on request. Access for each role is settled during implementation and revised afterwards.
