Class Timetable and Capacity for Pilates Studios

The timetable lists each weekly class with its instructor, room and number of places. Capacity follows the apparatus on the floor, so a reformer class never holds more clients than there are machines.

What a class record holds

Each class is entered once and repeats on the weeks you choose. Owners and the front desk set it up, and instructors read it.

Type and level

Reformer, mat, tower and chair classes each get a name and a level, such as beginner or intermediate, so clients book the right one.

Instructor and room

A class is tied to one instructor and one room. A substitute can be put in for a single date without changing the weekly pattern.

Places

The number of places matches the reformers or mats in that room. Four reformers means four places, and the fifth client goes to the waitlist.

Date exceptions

A public holiday, a workshop or a room under repair can close a class on one date. Booked clients are listed so the desk can tell them.

Capacity by apparatus

A studio with eight reformers and a tower corner cannot treat every class the same. Each room carries its own count of machines. A semi-private class on the tower may take three clients, while a mat class takes twelve. The count sits on the class, so booking reads it directly.

Where the timetable leads

Booking reads the timetable for open places. Attendance is marked against the same class. Instructor payouts count the classes each person taught. A change here shows in all three.

What the studio decides

The timetable does not choose which classes your studio should run. Class mix, level names and how many places a room can safely hold are decisions for the owner and the head instructor. GullySystem enters them as given.

Frequently asked questions

Can two rooms run classes at the same hour?

Yes. Each room has its own timetable and its own count of places, so a reformer room and a mat room can both be full at six.

What if an instructor is away for one week?

A substitute is named for those dates only. Clients who booked see the new name, and the substitute’s count goes against the right payout.

Can a class be limited to members?

Yes, where the studio wants it. A class can be marked for clients who hold a pack or plan, and the rule is set during scoping.

Is the number of places tied to the machines automatically?

No. The studio enters the count for each room. If a reformer is taken out for repair, the places on that room’s classes are lowered by hand.
