Renewals and Lapsed Clients for Pilates Studios
The desk sees which packs are close to their last session or expiry date, and which clients have stopped booking. Each entry shows the client, her last class and the date to call her.
Packs nearing the end
A pack ends in one of two ways. Either the last session is used, or the validity date passes. Both cases are listed, so the desk can act before the client notices.
Clients who have gone quiet
A client who booked twice a week and has not booked for a fortnight is a different case from one who comes monthly. The studio sets what counts as gone quiet. Entries are sorted by how long it has been, and each name opens her profile.
Reminders and offers
A renewal reminder can be sent over WhatsApp, text message or mail. A returning-client offer can be sent to the lapsed list. Each message is logged against the client, so the desk does not send the same one twice.
What the studio decides
Renewal pricing, extension rules and the wording of messages are the owner’s. Nothing here decides who deserves an extension. It shows the client, the pack and the dates, and the desk acts.
Frequently asked questions
Can a lapsed list be limited to one instructor’s clients?
Yes. The list can be filtered by instructor, class type or branch, so each head of team calls her own clients.
Does it send renewal messages by itself?
Only if switched on. Many studios prefer a desk call for packs of larger value and a message for the rest.
Can a client be removed from the list?
Yes. A client who has moved away or asked not to be contacted can be marked, and she stops appearing.
Does it show why a client left?
Only if the desk records a reason after the call. The reason then shows on her profile and in the lapsed report.
