Every Guard on One Record, Papers Included
A client asks for the verification copies and training dates of the men on his site. That used to take a day and end with one file missing. Now it takes a search.
Two cupboards and a Friday evening
Guard papers live in files, and files move. A man transferred from the warehouse to the apartment site leaves his folder behind in somebody’s drawer. The request always arrives on a Friday evening, from a client who wants it before Monday.
What the record holds
The person
Photograph, address, phone numbers, next of kin and the date he joined you.
The numbers payroll needs
Bank account, UAN and ESIC number, so the wage sheet and the transfer file are not chasing details on the 30th.
Papers, with dates on them
Identity and address proof, police verification, training completion and licence copies, each carrying the date it falls due.
Where he has stood
The sites and posts he has worked, so a client asking about one man gets an answer from the record.
Uniform and kit issued
What he was given, and what is recovered when he leaves.
What it saves you
- Verification and training dates falling due in the next two months
- Papers for one client’s site, produced as a list
- Guards whose documents are missing, before an inspector asks
- Advances outstanding against a man who wants to leave
- Records carried across from your files before the first roster is published
Frequently asked questions
Does holding these papers make our agency PSARA compliant?
No. No software hands you compliance. Licence copies, police verifications, training dates and wage records sit on each man’s own record, ready the same day a client or an inspector asks. The rest sits with you and whoever advises you.
Can we upload scanned copies?
Yes, against the man’s own record. A photograph taken on a phone is usually enough, and it is what most agency offices actually have.
Who inside the office can see a guard’s Aadhaar?
Only the people you name. Access is by role, so operations can work the postings without opening bank details or ID copies. Who gets which role is settled with you before go-live rather than left at a default.
Can you bring our existing guard files across?
Yes. Guards, their papers, current postings and outstanding advances are loaded from your spreadsheets and cupboards before the first roster is published. Your office keeps the old sheet for a month and compares.
