The Month Rostered Before It Starts
Guards go on posts and shifts for the whole month, with weekly offs planned rather than remembered. What the contract asks for and what you have actually placed sit on one screen.
A printout, changed forty times in pencil
Most agencies build next month on a sheet, print it, and then change it forty times in pencil. The supervisor carries one version and the operations manager keeps another. By the 12th the only honest record of who stood where is the gate register, and that is lying at the site.
What the roster holds
Post by post, shift by shift
Each client site carries its posts and its shift pattern. The roster fills those slots by name, so an unfilled slot looks like a hole rather than a blank cell.
Weekly offs planned, not owed
A man’s off day is placed when the roster is built, and his cover is placed with it. Nobody quietly accumulates six weeks of unclaimed offs.
Double duties are visible
Where a guard is put on two shifts, the roster says so before the month begins. Accounts is not surprised by it at wage time.
Approved leave already on it
Leave cleared through the leave screen shows against the roster. The replacement is planned in daylight.
Before you publish it
The roster is checked against the contract, not against memory.
- Contracted strength for each post, set beside the names you have placed
- Sites running short, listed before the client finds them
- Guards placed on two sites in the same shift, flagged
- Men with no duty at all this month, so the reliever pool gets used
- Verification and training dates falling due, next to the posting
Frequently asked questions
Can we change the roster mid-month?
Yes, and you will. A man moved on the 14th is moved on the roster, so the duty count at month end follows what actually happened rather than what was planned on the 1st.
Does it build the roster on its own?
No. It doesn’t guess who suits which site. You place the men, and the screen tells you where you are short, which shifts clash, and whose off day is missing.
Can one guard be rostered across two client sites?
Yes, where your contracts allow it. The duties split by post, so each client is billed for what he received and the guard’s wage counts both.
What about supervisors and housekeeping staff?
They go on the same roster, by post and shift. An agency supplying pantry and housekeeping staff alongside guards runs one roster for all of them.
