Meeting Attendance Records for SHGs

Attendance is marked at each meeting and kept against the member who came. Over a year, the record shows who attended, who did not and how participation stands.

Marked at the meeting

Marking who came is the first item on the screen, since it is the first thing that happens in the room. The treasurer marks each member as present or absent while the meeting begins, and the entry is stored against the member and the date of that meeting. Nobody writes it up afterwards.

What the record holds

Attendance by member

Each member’s record lists the meetings she attended and those she missed, in the order they were held, so her participation across the year can be read at once.

Attendance by meeting

A meeting shows who came and who did not. It sits beside the savings and repayments recorded at that same meeting.

The same member record

The entry is stored on the record used for savings and loans. No separate attendance book is kept.

Where attendance is read

  • Group leaders see who is not attending before it becomes a pattern
  • Treasurers see presence next to the savings entered at the meeting
  • NGO coordinators read attendance by meeting for the groups they support
  • Banks and funders may ask for participation records, which are printed from the same entries

Meeting alerts

Meeting alerts arrive as SMS, email or in-app notice, as many days ahead as the group sets. They reach members whose number or email is on the record. A member with no phone still has to be told another way. Planning for that is part of set-up.

What the group decides

Whether absence has a consequence, such as a fine or a note to the leader, is the group’s own rule. The software records who came and does not enforce any rule. How a late arrival or a proxy is shown is agreed with the group during implementation.

FAQ

Frequently asked questions

Can a member see her own attendance?

Members can see their own savings history and loan balance. Whether the attendance record shows on the same screen is agreed with the group during set-up.

Does a missed meeting affect savings or loans?

Not on its own. Attendance is recorded beside savings and repayments, and any rule that links them is one the group decides.

Can attendance be corrected after the meeting?

An entry typed wrongly can be corrected, and the correction carries a date. The change is visible on the record.

Is attendance available as a report?

Yes. Attendance by meeting is one of the reports, and it can be printed or exported when a bank or funder asks.
