Views by Role for SHG Management
A self-help group, its members and the NGO behind it all work from one set of entries. Each role sees the screens it needs, from the treasurer’s meeting entries to the coordinator’s list of groups.
Who uses the system
The system is used by self-help groups with regular savings and internal lending, and by NGOs and rural development organisations that support many groups. It is also used by groups preparing records for a bank loan. Group leaders, treasurers, members and coordinators each sign in under their own role. Everyone reads the same entries, so a figure does not change from one screen to the next.
What each role sees
How a meeting moves between roles
At group set-up, members are entered with their savings amount and cycle and the group’s interest rate is entered once. On the day, the treasurer marks attendance and records savings as they are handed over, and each member receives a confirmation of what she paid. A loan request goes in with the group’s decision. Repayments go against the schedule. Reminders reach members before dues and meetings.
Handover and changes of treasurer
A treasurer who is handing over can leave clean records. Each entry shows which user made it. The next treasurer opens the same records, with attendance, savings and loan balances as they stand.
What each group decides
The group decides who holds which role and what a member may see. Whether members see attendance as well as savings and loans is settled at set-up, before any meeting is recorded. Roles are set before the first meeting is recorded, and they can be changed when the group asks us to.
Frequently asked questions
Can a coordinator see every group’s records?
A coordinator sees the groups she supports. Each group keeps its own members, savings and loans, and how figures are brought together across groups is decided when the software is set up.
Do members need smartphones to see their balance?
No. Members with a smartphone can see their own history, and members without one receive SMS reminders. The treasurer records the meeting either way.
What does a group leader see before a meeting?
The meeting summary, members behind on savings or repayments and the group’s balance. These are drawn from the entries already made.
Can two people record the same meeting?
Each person signs in under her own role, and entries carry the name of who made them. Which roles may record at a meeting is agreed with the group.
