Community · Trade Association Management Software

One register for member firms, dues, committees, events and ballots.

Run a trade association from one member register. Each firm carries its class, delegates, dues, committee seats and event bookings. The secretariat issues renewals, admits applicants, convenes working groups, collects comments on consultations and runs the annual meeting from the same record. Delegates log in to update details, pay invoices and book places, so staff stop retyping what members could enter themselves.

  • Membership classes, fee bands and committee structure entered the way your rules read
  • Member firms, delegates and unpaid dues migrated from your sheets
  • Voting weights and meeting rules reviewed with your own officers during implementation

Trade associations use this software to hold member firms with their delegates and class. It issues and matches dues, admits applicants, runs committees, manages conferences and sponsors, logs consultations and builds annual meeting voter rolls from the register. GullySystem configures it for your classes, fee bands and meeting rules.

Where it breaks today

What goes wrong before the software.

People are listed, firms are not

Contact lists hold names, not companies. When a firm changes its representative, the old delegate keeps receiving circulars and nobody can list every person from one member.

Fee schedules are applied from a sheet

Dues depend on class, turnover band or headcount, and mid-year joiners are prorated by hand. A firm queries its invoice and staff recompute it from the schedule.

Admission decisions are untraced

Applications come with references and papers by email. The committee’s decision is recorded in minutes, and the register is updated later, if at all.

Committee seats are tracked in minutes

Who sits on which working group, and for which firm, is rebuilt from old minutes whenever a chair changes. Action items lose their owner.

Conference lists disagree

Member rates, non-member rates and sponsor passes are paid by several routes. The badge list, the catering count and the finance list rarely match.

Ballots need a clean register

The annual meeting needs a voter roll with weighted votes and arrears removed. It is assembled from several sheets days before the meeting.

How it runs

How the work flows through it, step by step.

Illustration with sample figures. Your screens are built around your own records.
  1. 1

    Application

A firm applies online with its sector, size and references. The membership officer checks the papers and sends the file to the admissions committee.

  2. 2

    Admission

The committee’s decision is recorded. An admitted firm gets a class, a fee band, delegates and access to the portal and directory.

  3. 3

    Dues

Invoices are issued by class and band. Payments are matched, reminders go to firms in arrears, and a lapsed firm loses member access on the date the rules say.

  4. 4

    Committees

Working groups meet with chairs, secretaries and firm seats on record. Minutes and action items are filed to the group, and seats change when a delegate is replaced.

  5. 5

    Events and consultations

Registrations are taken at the right rate and badges issued. Consultations collect comments by topic and firm, and the submission is kept with its approval trail.

  6. 6

    Annual meeting

The voter roll is built from the register with class weights applied and arrears removed. Proxies and results are recorded for the minutes.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Member firm register

Hold each firm with its class, sector tags, delegates, billing contact and join date, so a change of representative is entered once and reaches every list.

Membership applications

Take applications online, collect references and supporting papers, and record the admissions committee’s decision before a firm is admitted.

Dues and renewal runs

Issue dues by class and size band, prorate mid-year joiners, match payments to invoices and list firms in arrears before the renewal date.

Member portal

Let a delegate update contact details, download dues invoices and certificates, book events and read papers for the groups they sit in.

Committees and working groups

Record each group’s chair, secretary and firm seats with meeting dates, minutes and action items, so a seat passes cleanly when a representative leaves.

Consultations and position papers

Log each public consultation, collect member comments by topic, track drafts through approval and keep the final submission with its date.

Events and conferences

Run registrations at member, non-member and sponsor rates, issue badges, manage sessions and rooms, and reconcile paid places against the delegate list.

Sponsors and advertisers

Record sponsor packages, the benefits each was promised, logo and listing deadlines, and invoices, so nothing owed to a sponsor is forgotten.

Training and certificates

Schedule courses and exams for member staff, record attendance and results, and issue certificates with an expiry date.

Member directory and communications

Publish the directory from the register by sector and region, and send circulars to chosen classes, groups or delegates by email or messaging.

Annual meeting and ballots

Build the voter roll from the register, apply class weighting, remove firms in arrears, record proxies and keep the result.

Secretariat tasks and reports

Assign follow-ups to staff, and report on members by class, renewals, event income and committee activity for the board.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Contact & Account Management

Each firm is one record with its delegates and billing contact, so a change of representative is made once and reaches circulars and committee lists.

  • Subscription Billing

Dues are raised by class and size band on a yearly cycle, prorated for joiners, and renewals recur without staff retyping the schedule.

  • Receipts Management

Payments by transfer, card or cheque are matched to dues invoices, leaving a clear list of firms still in arrears.

  • Workflow and Approvals

An application passes from the membership officer to the admissions committee, and the decision is recorded before the firm becomes a member.

  • Online Booking Portal

Delegates book conference places and training days at the rate for their class, and paid places match the badge list.

  • Document Management

Drafts, member comments and the final submission are stored against the consultation, with approval dates and the version that was sent.

  • WhatsApp, SMS and Email Notifications

Circulars, renewal reminders and event invitations go to chosen classes, groups or delegates by email or messaging, with delivery recorded.

  • Roles and Permissions

A delegate sees only the firm’s own invoices and the groups the firm sits in, while secretariat staff see the full register.

Reports

The numbers the owner asks for.

  • Members by class, sector and region, with joins and lapses
  • Dues invoiced, received and in arrears, by firm and class
  • Applications by stage and committee decision date
  • Committee seats by group, with vacancies and expiring terms
  • Conference registrations by rate type against the badge list
  • Sponsor benefits promised and delivered, by package
  • Voter roll with weights, arrears removed and proxies recorded
Good fit

Who this is built for.

  • Sector bodies whose members are companies in one industry
  • Chambers and federations that run committees and publish position papers
  • Associations that hold a yearly conference, training days and a directory
  • Employer and manufacturer groups that vote on office bearers at an annual meeting
  • Regional or national secretariats with several staff and several hundred member firms
Honest answer

When it is not the right choice.

  • A small club with one volunteer treasurer can manage with a sheet and a mailing list.
  • Bodies that mostly collect donations from individuals will find NGO and Trust Management Software closer.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Membership classes and fee bands

Large firm, small firm, associate and affiliate classes, with the fee schedule for each, are entered as your constitution states them.

Committee structure

Working groups, term lengths, seat limits per firm and the approval steps for papers are set to your own rules.

Voting rules

Weighting by class, proxy limits and the arrears rule are configured and reviewed with your officers during implementation.

Currency and tax settings

Dues and event invoices use the currency and tax treatment of your country, set and reviewed with your accountant.

Register and history migrated

Member firms, delegate names, committee rosters and outstanding dues come across from the sheets you keep today, and the secretariat checks every row before anyone logs in.

Hosted by GullySystem

The secretariat and every delegate read the same records. Changes to classes or forms are handled by GullySystem staff when asked.

Common questions

Questions owners ask before a demo.

Is the firm or the person the member?

The firm is the record. People attach as delegates, billing contacts or committee representatives, so replacing one person never touches the firm’s history.

How are dues worked out?

Each class has a fee schedule, and some are banded by turnover or headcount. A firm joining mid-year is prorated by the rule you set at configuration.

Can we show a public directory?

Yes. Chosen fields from the register are published by sector and region. A lapsed firm drops from the listing on the date your rules specify.

How are committee seats kept?

A working group page names the chair, the secretary and every firm seat, each with the dates it began and ended. Minutes and actions attach to the group, not to a person’s inbox.

Can events have different rates?

Yes. Member, non-member, sponsor and speaker rates are set per event. Paid places are reconciled with the badge and catering lists.

Can members vote through it?

Partly. The system builds the voter roll with weights and records proxies and results, while your officers decide whether voting is in person or electronic.

How do consultations work?

Staff open a consultation, members send comments by topic, and the drafts and final submission are stored with approvals. You can see which firms replied.

Can we move our member list over?

Yes. Member firms, delegate names, class codes, committee rosters and outstanding dues come in from your existing sheets. The secretariat checks them before the first member logs in.

Who owns the member data?

The association does. How the register and dues history can be exported is written into the quotation before work begins.

What does it cost for a membership of our size, and can we see a demo?

Member count, staff users and modules such as events or ballots shape the quotation. Membership classes and fee bands, the member portal and the move of your register are listed as parts. The quote arrives in writing, after you have seen sample firms on screen.

How long before the secretariat runs the register in it?

The member firm register, applications, dues and renewal runs and the member portal go live first. Committees, consultations, events, sponsors and ballots follow. Member count and the number of committees set the length. Every stage is dated in your proposal.

What should the secretariat gather beforehand?

Bring the member register with class and fee bands, past dues invoices, committee lists, voting rules and event registration samples. Name a membership officer, a committee secretary and a finance person.
