Questions to Ask Before Buying Software for a Car or Bike Dealership

Ask how the software handles your enquiries, stock, loan files and commission, and how it sits beside the brand’s own DMS. Then ask who owns the data and how it moves in. GullySystem’s Auto Dealer Management System covers these for showrooms. A small sub-dealer may manage with a shared sheet.

Questions about enquiries and follow-ups

Leads arrive from the floor, calls, the website, ad forms and portals. Ask whether every source lands on one list with a named owner. If two executives can call the same buyer unaware, the old problem stays.

Then ask what happens when an executive is on leave. Can a manager move his deals to someone else with the history intact? Follow-ups should come from the deal stage, not from memory. Memory leaves with people.

  • Do walk-ins, calls and portal leads reach one list?
  • Is each enquiry owned by one named executive?
  • Can deals be reassigned with their notes?
  • Are reminders set by stage, PMS date or insurance renewal?

Questions about stock and online listings

A sold vehicle still shown online costs a wasted trip and a lost buyer. Find out how a booking changes the listing on your website. Ask which portals can take a feed, and which cannot.

Some portals allow no link at all, whatever a sales deck says, because the portal decides which feeds it accepts and from whom. Listings there are still updated by hand, and the vendor should say so plainly. Stock ageing by model and colour belongs on the same screen.

Exchange vehicles matter too. Check that an exchange unit can become a listing like any other.

Questions about the loan file, papers and commission

Delivery often waits on a bank approval, the insurance cover note and RTO papers. Ask where these sit. A buyer’s file should be found by name or policy number in seconds, not from a folder.

Commission causes quiet arguments, often months after the delivery, when nobody remembers which payment came in on which date. Ask whether it is worked out from money received, using your payout rules. One figure, seen by both the executive and accounts, settles most of them.

Questions about the brand system, Tally and your data

Most brands supply their own DMS for vehicle orders, warranty and parts. Ask the vendor plainly whether their software replaces it or sits beside it. Sitting beside it is usually what a dealer needs. Note the exact answer.

Next, find out how invoices reach your accountant. An export for Tally is common, and a direct link is often extra work. For GST on used vehicles sold at a margin, confirm the treatment with your CA.

Last, settle who owns the customer data. Get that answer in writing, along with how the database comes back if you leave.

  • Does it replace the brand DMS or work beside it?
  • How do invoices reach Tally?
  • Who owns the data, and how is it returned?
  • Can reports download in Excel or PDF?

Questions about set-up, training and fit

Start with the masters. Brands, models, variants, deal stages and commission rules go in first. Open enquiries and current stock then move across from Excel. Your team should check them before go-live.

Training should match the roles. Executives, the loan desk and accounts each need their own short session. See the software run on your own stock before any price is quoted.

Also question whether you need it at all. A dealer selling a few vehicles a month, with one person on everything, may not.

Questions owners ask

Should dealer software replace the brand’s DMS?

No. The brand system handles vehicle orders, warranty and parts. A dealer system sits beside it and holds enquiries, follow-ups, loan papers and commission.

Do these questions apply to a two-wheeler showroom?

Yes. The flow from enquiry to test ride, booking and delivery is the same. Add one question: can each sub-dealer outlet see only its own enquiries and stock?

Will it produce a valuation report for exchange vehicles?

No. In GullySystem’s dealer system an exchange unit is listed with photos, price and status. A pre-inspection or valuation report with photos is not part of it.

Will every portal update automatically?

Not always. Only portals that accept a feed can be linked, and each is tested at set-up. The rest are updated by hand.
