Software Solutions for Perfume Sellers Online

Perfumes are sold as eau de parfum, eau de toilette and extrait, each in several bottle sizes, with testers and sample vials alongside. Online sellers need one scent listing over many stock lines, batch records for authenticity questions and parcels packed for glass.

At a glance

List each perfume once and stock every size, tester and sample behind it.

A perfume at 100 ml in eau de parfum and the same perfume at 50 ml in eau de toilette are different products to a buyer and to a stock count. The listing has to keep them apart without losing the scent they share.

Businesses and operating models

Brands with a core range

A house sells a handful of scents in two or three concentrations directly and through a few partners.

Authorised retailers

A retailer lists the same perfumes as many others, so authenticity and delivery speed carry the sale.

How an order moves

The workflow for perfumes.

  1. 1

    Scent, concentration, size

Each perfume is added with its concentration and bottle sizes. Every combination gets its own price and barcode.

  2. 2

    Tester and sample lines

Testers are listed as stock that is never sold to customers. Samples are filled from a bottle and deducted from it.

  3. 3

    Receiving against a batch

Cartons arrive with a batch code, which is recorded with the supplier invoice before shelving.

  4. 4

    Packing for glass

The box is wrapped, the cap is checked and the parcel is photographed before sealing.

  5. 5

    Handling a leaking bottle

A customer reports leakage with a photograph. The order record decides between replacement and refund.

Where it breaks

The challenges, and what they cost.

Concentration confusion

A buyer orders eau de toilette expecting the stronger parfum because the page showed one photograph. The mismatch becomes a return.

Tester stock leaks into sales

A tester bottle with no box is sold as new because it shares a stock line with retail bottles.

Old batches sit unsold

Without batch dates, older stock stays at the back and newer stock sells first.

Requirements to assess

What is specific to this trade.

These are requirements we would confirm in discovery. They describe what the solution may need to handle. They are not features that already exist.

  • Concentration shown clearly on every variant and in every basket line
  • Testers and samples kept apart from retail stock
  • Batch code and invoice reference attached to received cartons
Recommended modules

What we would build for perfumes.

Chosen from the commerce capabilities this business needs, not a list of everything.

Concentration and size variants

Hold concentration and bottle size as options of one perfume, each with its barcode and weight.

Tester and sample stock

Keep tester bottles out of customer stock and deduct sample fills from the parent bottle.

Batch receipt

Record batch code, supplier invoice and date at goods receipt.

First-in-first-out picking

Draw the oldest batch when an order is packed, and save it on the order line.

Damage reporting

Photograph, reason and outcome saved on the order.

Users and permissions

Who works in the system, and what each can do.

Catalogue editor

Adds scents, variants and photographs, and checks the concentration against the supplier sheet.

Packing team

Receives cartons, records batches and packs glass for dispatch.

Customer care

Resolves leakage, wrong-concentration and delivery questions.

Integrations

What it would connect to.

An integration is confirmed only after its API, access and scope are checked. A connection that updates on a schedule is described as scheduled, not real-time.

  • Stock and billing software at the shop or godown
  • Payment through a gateway, with cash on delivery where you offer it
  • Couriers that take scented glass, with booking added after the carrier’s API is checked
Implementation

How the work runs, and what we need from you.

What you provide

  • Your perfume list with concentrations, sizes and barcodes
  • A sample of recent supplier invoices
  • How testers and samples are counted today

Fix the variant rules

Concentration and size are settled first, since stock, price and search all rest on them.

Try one carton end to end

A single carton is received, listed, sold and packed as a rehearsal.

Deliverables

What you receive.

  • A perfume record with concentration and size variants
  • Tester and sample stock rules
  • Batch recording at receipt
  • Training for packing and care staff
Measurement

How progress is judged.

Measures are agreed against your own baseline. We do not promise a result in advance.

  • Returns where the buyer expected another concentration
  • Tester bottles sold by mistake
India and international

Selling at home and abroad.

A buyer abroad may expect the concentration, a bottle size in ounces and a local-language label. Your adviser decides which of these each market needs.

The wider requirements for fragrances are on the Fragrances page.

Configured implementation

Nothing in the GullySystem range runs a fragrance store. The storefront is built on whichever commerce platform discovery selects, and gaps in that platform are scoped as custom work.

Concentrations, sizes, samples and batch records are what the category solution already holds for a scent.

Common questions

Questions about perfumes e-commerce.

Can the site show which batch my bottle came from?

The batch is saved against the order line, and what a customer sees is a setting. The system records the batch; it does not verify it.

Do testers need a separate listing?

They need a separate stock line so they are never sold. They need not appear on the storefront at all.

Can we sell sample vials of our own perfumes?

Yes, as their own variant, with the fill deducted from the bottle they came from.
