One member record for shares, savings, loans, guarantors and committee decisions.

Manage membership, share and savings accounts, loan applications, guarantors, credit committee decisions, employer deductions, arrears and annual meeting notices in one system. Each member is held once, with every account and every paper beside the name. Loan officers, tellers, treasurers and volunteers read the same record, and the board gets its figures from entries already made.

  • Account types, common bond groups and loan products entered the way your charter defines them
  • Member list, balances and open loans migrated and checked by your treasurer
  • Edits to loan products and notice templates handled by GullySystem staff when asked

GullySystem sets up Credit Union Management Software for member-owned savings cooperatives, covering enrolment, share and savings accounts, loan files and arrears. A member holds one record with linked accounts, guarantors and committee decisions. Employer deduction files are matched to members, and board packs come from the entries tellers and loan officers already make.

Where it breaks today

What goes wrong before the software.

Accounts sit in separate workbooks

A member’s shares are in one file and the loan is in another. Answering a simple question at the counter means opening both and trusting that the totals agree. That takes time.

Guarantors are tracked on paper

A loan names two guarantors, and each of them may stand for other borrowers too. Nobody can see at a glance how much one person has pledged. Exposure goes unseen.

Committee reasoning is not kept with the file

Minutes say a loan was approved. The conditions, the members present and the reasons for a lower amount are in a separate minute book.

Employer deduction files arrive as one lump

A sponsoring employer pays once for forty members. The split across shares, savings and repayments is done by hand, line by line. It is slow work.

Arrears follow-up depends on a volunteer’s diary

Who rang whom, and what date the member promised, lives with whoever made the call. A successor starts again. Calls get repeated.

Board packs are rebuilt every quarter

Member counts, loan book totals and arrears ageing are pulled from several files. The same sums are redone before each meeting and each supervisor request.

How it runs

How the work flows through it, step by step.

  1. 1

    Enrolment

A person joins under the common bond or through a sponsoring employer. Identity papers are filed, a nominated beneficiary is noted, and the first share account is opened.

  2. 2

    Deposits and shares

Money arrives at the counter, by standing order or in an employer deduction file. Each posting goes to the right share or savings account and appears on the statement. Nothing is posted twice.

  3. 3

    Loan application

The loan officer records the amount, purpose and term, checks the savings history and attaches guarantors and supporting documents.

  4. 4

    Committee decision

The credit committee reads one page per file. The decision, conditions and names of members present are recorded, and the applicant is told. Nothing waits on a minute book.

  5. 5

    Repayment and arrears

Instalments fall due on the schedule. Overdue loans appear by age, and each call and promised date is noted for the next person. Nobody starts from scratch.

  6. 6

    Year end and meetings

Interest and dividends are posted by the treasurer, notices go to members, and the annual meeting keeps its attendance list and vote record.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Membership and common bond records

Hold each member once, with common bond group or sponsoring employer, contact details, identity papers filed, nominated beneficiary and every linked account.

Share and savings accounts

Post deposits and withdrawals to each account type, apply the interest rule set for it, and print a statement for any member who asks at the counter.

Loan products and applications

Define loan products with their limits, terms and security rules. Take each application with the purpose, the amount asked and the member’s savings history beside it.

Guarantors and pledged shares

Link guarantors to a loan, show how much each person has already pledged across other borrowers, and lock pledged shares until the loan is cleared.

Credit committee decisions

Present one page per file to the committee, then record the decision, the conditions, the members present and any amount agreed below the request.

Repayment schedules

Generate the instalment schedule on approval, post each repayment against principal and interest, and handle early settlement and rescheduling with a note of who agreed it.

Employer and standing deductions

Match an employer’s deduction file to the members it covers. Standing orders are checked against the account they fund, and any unmatched line waits for a person.

Arrears and member follow-up

List overdue loans by age, record each call and promised date, and place the next contact on the list of the volunteer or officer responsible.

Interest, dividends and year end

Calculate interest on savings and dividends on shares by the rules the board has set, post them to member accounts and hold the working behind each figure.

Member notices and annual meetings

Statements, arrears reminders and notices of the annual general meeting go out by email, text message or a messaging app. Keep the attendance list, proxies and the record of each vote.

Board and supervisor reports

Produce member counts, loan book by product, arrears ageing and share totals from entries already made, in the layout your board and supervisor ask for.

Staff and volunteer access

Give tellers, loan officers, committee members and the treasurer only the screens their role needs, and keep a log of every change made to a member or a loan.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Contact & Account Management

The member is kept as one person with several linked accounts, so a teller reaches shares, savings and loans from a single name.

  • Receipts Management

Each deposit is receipted against the correct account type and appears on the statement the member can collect at the counter.

  • Workflow and Approvals

A loan file moves from officer to committee with its limits checked, and the recorded decision stays attached with the members present.

  • Bank Reconciliation

Employer payments and standing orders are lined up against the bank statement, so an unmatched line is visible before it distorts any member balance.

  • Collections and Payment Follow-Up

Overdue loans become a daily call list, and each promised date is noted so the next volunteer picks up where the last one stopped.

  • WhatsApp, SMS and Email Notifications

Statements, arrears reminders and meeting notices go out from the member record by email or SMS, with the delivery noted against the name.

  • Finance and Accounting Reporting

Loan book, share totals and arrears ageing are drawn from posted entries, so the board pack matches the ledger the treasurer has closed.

  • Roles and Permissions

Tellers, loan officers, committee members and the treasurer each open only their own screens, and every change to a loan leaves a record.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For tellers and member service staff

Enrol members, post deposits and withdrawals, print statements and answer balance questions from one screen.

For loan officers

Take applications, attach guarantors and papers, prepare the committee page and follow each loan through to settlement.

For credit committee members

Read the file for each application, vote or record a decision, and set conditions that the loan officer then enforces.

For the treasurer and board

Post interest and dividends, review the loan book and arrears, and prepare the pack for the board and the supervisor.

For collections volunteers

See the overdue members assigned to you, note what was said on each call and set the date of the next one.

Reports

The numbers the owner asks for.

  • Members by common bond group and employer
  • Loan book by product, with arrears ageing
  • Guarantor exposure by person
  • Credit committee decisions with conditions set
  • Employer deduction files matched and left over
  • Share and savings balances by account type
  • Dividend and interest postings for the year
Good fit

Who this is built for.

  • Member-owned credit unions run by a small paid team and elected volunteers
  • Workplace credit unions that collect savings through a sponsoring employer
  • Community and faith-based savings cooperatives that lend to their own members
  • Credit unions with a credit committee that must minute each loan decision
  • Treasurers preparing quarterly figures for a board or a supervisor
Honest answer

When it is not the right choice.

  • A small informal savings circle that meets monthly and keeps one page of balances can manage on paper.
  • Commercial lenders without member ownership will find Loan Management System or Bank Management Software closer to how they work.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Account types and interest rules

Share, savings and term deposit accounts are defined with the interest and dividend rules your board has set, and reviewed with your officers.

Loan products and committee limits

Each loan product carries its term, security and approval limits, so a file goes to the right person or committee.

Common bond and employer groups

The groups that qualify members, and the file layout each sponsoring employer sends, are set up one at a time.

Members and balances migrated

Your workbooks supply the member lists, balances, open loans and guarantor links, and the treasurer ticks off each total against the ledger before staff start posting.

Currency, tax and local rules

Your currency and any tax on interest are configured, and your officers go through the lending and reporting rules in force while the system is built.

Hosted by GullySystem

GullySystem hosts the system, so staff and volunteers read the same record. Changes to loan products and notices come from GullySystem staff.

Common questions

Questions owners ask before a demo.

Does it hold shares and savings as well as loans?

Yes. Each member has share, savings and loan accounts linked to one record. Postings, balances and statements sit together, and the interest rule for each type is set in the first workshop.

Can it show how much a guarantor has pledged?

Yes. A guarantor’s name links to every loan that relies on him or her. The loan officer sees the total pledged before adding another borrower.

How does it record a committee decision?

The committee reads one page for each application. The decision, the conditions, the amount agreed and the members present are saved on the loan file and cannot be lost in a minute book.

Can it split an employer’s deduction file?

Yes. The file is read line by line and each amount is posted to the member’s share, savings or loan account. Lines that do not match wait for a person to resolve.

Can volunteers use it without accounting knowledge?

Collections volunteers see only the members assigned to them and a place to note each call. Committee members see the loan page. Screens are limited by role.

Will it follow the rules for credit unions in our country?

Membership, dividend and lending rules differ by country and by charter. Your officers go through them with us during the build, and the software does not replace your supervisor’s guidance.

Can our existing member list and balances be moved?

Yes. Members, account balances, open loans and guarantor links are loaded from your workbooks. The treasurer checks each total against the books before go-live.

Who owns the member records?

The credit union does. The quotation sets out the file format in which member and account data can be taken out, agreed before any work starts.

Is a price listed for a small credit union?

No figure is listed. Staff and volunteer logins, along with the account types and loan products you define, shape the cost. A working demo comes before any quotation.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
