Finance and insurance · Software for credit unions

Keep every member, share balance, loan decision and notice on one shared record.

Credit unions are owned by their members, who save together and borrow from the pool. The credit union management software holds each member once, with share and savings balances, loan applications, committee decisions and arrears beside them. Staff, loan committees and volunteers read the same record. Rules for membership, dividends and lending differ by country, and they are set up and reviewed during implementation.

At a glance

A credit union exists for its members, and it is often run by a small paid team with elected volunteers on the board and the credit committee. The members expect personal service from an institution that cannot afford a large back office. Spreadsheets cope for a while. Past a few thousand members, paper loan files and linked workbooks stop coping and start hiding things.

Credit union management software keeps the member at the centre. Savings, shares, loans, guarantors and notices are tied to one membership record. Begin with membership and loan decisions, which carry the most explaining. Collections and member communication come next.

How the work runs today

Staff enrol new members. They record the common bond or sponsoring employer that qualifies each person, and open the share and savings accounts that the credit union offers to every new member. Deposits arrive at the counter, by payroll deduction from a sponsoring employer or by standing order from a bank. A loan officer takes each application, checks the member’s savings history and adds guarantors where the policy asks for them. The credit committee meets, reads the file and records a decision.

Treasurers post interest and dividends. They also prepare the figures that the board and the supervisor ask to see before each quarterly meeting. Collections staff phone members whose repayments are late and note what was agreed. The annual meeting needs a member list, notices and a record of votes. Volunteers rotate each term. The records must carry the history, not the people.

Where it breaks

What goes wrong for credit unions without a proper system.

Member records live in several files

Savings sit in one workbook, loans in another and guarantors in a paper folder. A question about one member means opening all three. That wastes a morning.

Committee decisions are hard to trace

Minutes record that a loan was approved, but the reasons, conditions and the members who voted are scattered across papers and email threads, which slows every later review.

Employer deductions arrive in bulk

A sponsoring employer sends one payment for many members. Splitting it across share, savings and loan accounts takes a day of manual matching.

Late payments are chased unevenly

Which members have fallen behind depends on who remembers to check. A promised date lives in one volunteer’s notebook. Nobody else can see it.

Volunteers leave and take knowledge with them

Boards and committees change each term. A new treasurer inherits files without the story behind each decision.

What the software does

What we would build for credit unions.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Member records

Hold each member once, with common bond or employer group, contact details, nominated beneficiary and linked accounts.

Share and savings balances

Record deposits and withdrawals per account and show current balances. A statement history is kept, so a member who asks for one can be handed it the same day.

Loan applications and committee decisions

Take each application, attach guarantors and supporting documents, and record the credit committee’s decision, the conditions set and the names of every member who was present at the meeting.

Employer and standing deductions

Match a bulk employer payment to the individual members it covers, and track standing instructions that fund each account.

Arrears and member follow-up

List loans behind schedule by age, record calls and promises, and put the next contact on the responsible volunteer’s list.

Member notices and meetings

Issue statements, reminders and annual meeting notices through email, text or a chat app, and file the attendance list and vote result beside them.

Board and regulator reports

Produce the member counts, loan book and arrears lists a board or supervisor asks for, from records already entered.

Common questions

Questions credit unions ask before they call.

Can it hold share and savings accounts as well as loans?

Yes. Each member has linked share, savings and loan accounts, with postings, balances and statements held together. Interest rules for each account type are set up with you in the first workshop.

Can a loan committee use it without training in finance?

Yes. The committee sees one page per application with the member’s history, guarantors and papers in front of them. A decision is recorded with the names present and any conditions attached.

Does it handle payroll deductions from employers?

Yes. A bulk payment is matched to the members it covers, and any remainder is held for review by a person. Every employer lays out its payroll file differently, so the first workshop covers each layout in turn.

Will it follow the rules in our country?

Your country and your charter decide the rules on membership, dividends and lending. They are reviewed with your officers during implementation, and nothing here replaces your supervisor’s guidance.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
