GullySystem
Finance · Loan Officer Management Software

One connected system for borrowers, loan files, documents, rate locks, conditions and commission.

Manage a loan origination pipeline in one system. Each borrower has a record with household, income and property details, and each loan file carries its checklist, quote, lock date and underwriting conditions. Estate agents and builders who send loans are linked to them. Commission is worked out from funded loans, so officers and managers read one record.

  • Loan types, checklists and stages entered as your lender or brokerage works
  • Borrower list, open files and lock dates brought across before the first day
  • Edits to checklists and message templates handled by GullySystem staff on request

Loan officers, mortgage brokers and origination teams get this system from GullySystem. Officers, processors, closers and branch managers use it. Each loan file holds the borrower, the document checklist, the quote, the lock date, conditions and closing steps. Partners who send loans, and commission, are tied to the funded loan.

Where it breaks today

What goes wrong before the software.

Borrower status sits in an inbox

Which borrower owes a document and which waits on the lender is read from email threads. Priority follows whoever wrote last.

Checklists differ by loan type

Each loan type needs its own income, asset and property papers. Staff rebuild the list from memory, and a missing page is found at underwriting.

Lock dates are on a personal calendar

The lock and its expiry are noted wherever the officer prefers. An extension is asked for after the date, at the borrower’s cost.

Conditions arrive piecemeal

Underwriting sends conditions in separate messages. No single list shows what is open, who owns it and when the closing date is at risk.

Sources of loans are not tracked

Estate agents, builders and past clients send loans, but nobody records which loans came from whom, or how many reached funding.

Commission is calculated by hand

Funded amounts, plan rates and branch fees are added up after month end. Officers question the figure because the file trail is incomplete.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry

A lead arrives from a referral partner, a past client or the website. A borrower record is created and linked to its source.

  2. 2

    Application

The borrower’s household, income, assets, debts and property are recorded, and the checklist for the loan type is generated.

  3. 3

    Quote and lock

A rate and estimate are recorded for the borrower. When the rate is locked, the lock date and expiry are entered and watched.

  4. 4

    Processing and underwriting

Documents are checked, verifications and appraisals are ordered, and the file moves to underwriting with each condition logged as it returns.

  5. 5

    Closing and funding

Conditions are cleared, the signing is booked, and the file moves to funded with the final loan amount recorded.

  6. 6

    Commission and thanks

Once funded, the commission comes from the loan amount and the officer’s plan. The referral partner receives a thank-you and the loan joins their history.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Borrower records

Keep each borrower’s household, employment, income, assets, debts and contact history, with co-borrowers linked on one file.

Loan application file

Hold the application, the loan type, the property, the amount and the stage on one file that every team member opens.

Document checklist by loan type

Generate the list of papers for the loan type, request them from the borrower, and mark each one received, rejected or waived.

Pipeline board by stage

Show loans from enquiry to funded with amount, owner, next step and days in stage, filtered by officer, processor or partner.

Rate quotes and lock tracking

Record each quote and rate lock with its expiry, and warn the officer before a lock lapses or a closing date moves.

Underwriting conditions

Log each condition as its own item with an owner, a due date and the document that answers it, and see what is left to clear.

Closing checklist and funding

Track the appraisal, insurance proof, signing booking and fund release as steps, with the final amount recorded at funding.

Partner and lead source records

Link each loan to the estate agent, builder or client who sent it, and see partner volumes and loans funded.

Borrower and partner messaging

Send status updates and document reminders from the file by email or text, with every message stored against the loan.

Commission and compensation plans

Apply each officer’s plan to the funded amount and branch fee, and produce the monthly commission statement.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Contact & Account Management

A borrower and any co-borrower are separate people on one household file, with income and contact history kept together.

  • Document Management

Pay records, statements and property papers attach to the checklist item they answer, and each is marked received, rejected or waived.

  • Pipeline Management

Every loan sits on a board by stage with its amount, owner and days in stage, so stalled files show first.

  • Service Reminders

A lock expiry or a moved closing date raises a reminder to the officer and processor before the rate is lost.

  • Task Management

Each underwriting condition is a task with an owner and due date, linked to the document that clears it.

  • Lead Management

Every enquiry records the partner or channel it came from, so volumes and funded loans can be read by source.

  • WhatsApp, SMS and Email Notifications

Document reminders and stage updates go to the borrower and the referral partner from the file, and each message is stored.

  • Commission and Incentives

The officer’s plan is applied to the funded amount and branch fee, producing a statement that matches the agreement.

Common questions

Questions owners ask before a demo.

Is it a loan origination system for lenders?

It covers the officer’s side: borrowers, files, documents, locks, conditions and commission. A lender’s core decision engine stays where it is, and results are recorded here.

How does it keep track of a rate lock?

The lock is entered with its rate, term and expiry. The file shows days left, and the officer and the processor are warned before it lapses or the closing date moves.

Can it list all the underwriting conditions?

Yes. Each condition is a separate item with an owner, a due date and the document that answers it. The file shows how many remain before closing.

Can borrowers upload documents themselves?

Yes. The borrower gets a link to the checklist for their loan and uploads against each item. Staff see what has arrived and what is still missing.

Does it work for brokers who place loans with several lenders?

Yes. A file may hold several lender quotes, and the one the borrower picks is marked as chosen. Conditions and locks follow the chosen one.

How does it treat borrower privacy?

Access follows role and file assignment, and every view and edit is recorded. Retention and consent settings are reviewed with your compliance lead during implementation.

Can we track which partner sent each loan?

Yes. Every borrower has a source, and a referral partner’s page lists the loans they sent, their stage and the amounts funded.

Can the live pipeline be loaded?

Provide the pipeline sheet or export. Borrowers, open files, lock dates and partners are loaded, and a processor checks a sample of files before the switch.

What does it cost?

Cost depends on how many officers and processors use it and what is connected. A walk-through with the branch manager leads to a written proposal.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
