Lead conversion creates the customer

When a lead is converted in Zoho CRM, the new account, contact and deal arrive in your system together. A customer record is created, and its ID is stored back on the Zoho account. No retyping. Not once.

Deal stage drives quotation and order

Moving a deal to the proposal stage can raise a quotation in your system using the deal’s products. Acceptance there moves the Zoho deal forward and creates the sales order. Prices travel with the products. Discounts stay on the deal.

Custom module records stay aligned

If you track site visits, policies or enrolments in a custom module, those records are mapped to their own tables. Edits on either side are picked up through webhooks or scheduled reads. Mapping is done per module.

Payments and balances update the account

Receipts and outstanding amounts from your accounts module are written to account fields in Zoho. A salesperson opening an account sees what is owed before calling. Sales see it before they dial.

Webhook notifications start follow-ups

A Zoho workflow rule can call a webhook when a deal is lost or stalls. Your system receives it, opens a task for the owner and logs the reason chosen in the picklist. Nothing waits for a weekly report, because the owner sees the lost deal and its stated reason as a task on the same day it happens.

1. Choose modules and field owners

We list modules in use, including leads, contacts, accounts, deals and custom ones. Each gets an owner system and a direction. Unused fields are dropped. Fewer fields means fewer faults, and the mapping sheet stays short enough for your sales operations lead to read in one sitting without asking a developer for help.

2. Connect and test

Access uses OAuth with a dedicated integration user and the right data centre domain for your account. We test against a Zoho sandbox where your edition offers one, or a copy of sample records if not.

3. Fit modules, fields and data centre

Picklists, lookups and required fields are mapped explicitly. Duplicate checks run on email, phone or company name. Failed writes are queued with the error message and retried. A failed write waits in the queue until someone replays it.

4. Review webhook logs, then hand over

You get a log of every call, a reconciliation report comparing both sides, and notes on re-authorising the connection if a token is revoked.

Questions about connecting Zoho CRM.

Can the sync run both ways with Zoho CRM?

Yes, where the module and fields allow it. We choose a single owner for each field and log conflicts. Some data is better kept one-way, such as invoice totals pushed into Zoho. Conflicts are written to a log.

What must our Zoho plan allow?

API access and the number of calls differ by edition and licences, so we check this early. Features such as sandboxes, certain webhook options and the daily allowance of API calls may not exist on every plan, and any gap is raised before design starts. Nothing is assumed.

Do we have to move old leads and deals first?

No. Historic records can be imported once, after a cleaning pass. We show a sample of matches and rejects, and live sync begins only after you confirm the result. Counts are checked first.

What if Zoho changes how its API behaves?

We follow Zoho’s notices for the endpoints we use. When something changes, we adjust the connection as part of agreed support, and tell you what was altered and why. You are told what moved.
